About the Department

Performs full cycle payroll for all campuses, employees, and student workers using ERP and technical level duties associated with processing and monitoring transactions; analyzes, reconciles, and reports financial information for Payroll Services; resolves internal and external concerns; meets strict timelines and maintains the highest level of accuracy and compliance. 

Position Duties


  • Reviews timesheets for compliance and completion; contacts employees, supervisors, and next inline for errors and corrections as needed; re-assigns or resets workflow.
  • Reviews new entry set ups and changes to positions, assignments, pay increases/decreases, and changes to benefits, taxes, and PTO; works with HR to resolve discrepancies and missing information; and coordinates inquiries from employees and outside requests with other employees.
  • Sets up wage garnishments, child support orders, PTO accrual accounts, donated sick, CLIP accounts, Foundation contributions, and other miscellaneous deductions; monitors account status and applies changes as directed; addresses inquiries from employees and government agencies.
  • Answers payroll related emails and phone calls; researches discrepancies and missing/short pays; assists with timesheet entry, reassignment, delegation, and resets; answers questions about processes and procedures; trains new employees on payroll time entry, accrual balance monitoring, late timesheets, and benefit change procedures.
  • Processes income verification request from external institutions; creates reports for current year and past two (2) years of pay; assists with providing audit information request from Department of Economic Security/Unemployment.
  • Sets up reports to run payroll including gross salary reconciliation; turns off accruals for full-time employees working less than 40 hours; adjust/updates personal deductions worksheet to account for changes to deduction for the pay period.
  • Processes payroll; Corrects and errors made during the process; reviews gross salary reconciliation, benefit changes, retirement contributions, ASRS/PSPRS, and taxes; posts payments; creates NACHA file to submit employee payments to the bank.
  • Completes post-processing steps including: check printing and distribution, updating benefit expense report, complete online payroll vendor payments, remits Federal and State tax payments, updates internal tracking reports.
  • Monitors Federal Student part-time workers balances, annuity balances, and HSA contributions to ensure compliance. 
  • Helps with special projects including salary report requests from other departments; year-end W-2 processing and distribution; W-2 reprint requests; reconciling basic GL accounts, preparing internal reports.
  • Processes terminated employee payouts; monitors for completed closing documents; communicates with other departments on outstanding balances; reviews payouts; updates earning statements and reduces accrual banks. 
  • Performs other duties commensurate with functions and level of position or as assigned. 
  • Supports recruitment or retention of students. 


Minimum Qualifications

EDUCATION: Associates Degree  


EXPERIENCE:  One (1) year of related Payroll experience

  • Ability to work both independently or as part of a team to apply workflow processes to meet deadlines imposed by fiscal cycles.

  • Ability to work under challenging situations, with interruptions and within strict timelines, while maintaining the highest level of accuracy and compliance.
