Glimpse of the Job:
The Events Coordinator I will provide central coordination of the Biology Department’s large events and conferences, to include pre- and post-event liaison with clients.
Opportunities to Contribute:
Coordinate multiple large events and conferences, including scheduling, receiving, and processing space requests, contract negotiation, and service requirements and deliveries.
Provide on-site customer liaison during events.
Coordinate post-event review and follow-up contact.
Interact with customers at the site of their meetings and events, and confirm arrangements and level of satisfaction.
Participate in the supervision of assigned staff and provide orientation for new staff.
Provide leadership and supervision of event team leads, event technicians, and student workers daily.
Responsible for the hiring and training of new student workers and full-time staff in the setup area.
Coordinate staffing levels for events and provide updates to the operations manager when staffing levels may need to increase or decrease.
Create a daily plan to manage the setup of events occurring in multiple buildings and outdoor areas on campus.
Create a variety of marketing and media materials for departmental events.
Communicate effectively and efficiently to all levels of the university and department through verbal and written conversations.
Work closely with departmental staff and administrators.
Coordinate site safety and security.
Execute appropriate risk management procedures to include crowd control measures and coordinate with officials to ensure compliance with regulations and policies.
Qualifications:
Bachelor’s degree in applicable field or equivalent combination of education and experience.
A well-qualified candidate may also possess:
Ability to multitask and work cooperatively with others.
Strong organizational skills.
Effective verbal and written communication skills.
Salary: Compensation will be commensurate based on the selected candidate's education and experience.
Special Note: Because all or a portion of your salary may be funded by grants or contracts, your continuing salary and overall employment is contingent upon availability of these funds in the future.
