Position Title:  Document Custody Clerk (Non – LO – No Consumer Contact)                                         

Department:  Document Services                                                                             Job Status:  ­­­­­­­­­­­­­­­­­­Full Time/Hourly

Reports to:  Document Custody and Release Team Lead                                 Amount of Travel:  None

Schedule: 5 day in-office

JOB SUMMARY

The Document Custody Clerk is responsible for creating and maintaining VMF loan files.  This position reports to the Document Custody and Release Team Lead and is responsible for managing, organizing, and filing incoming and outgoing loan documents.

JOB FUNCTIONS

Creates and Maintains VMF Loan Files

  • Completes audits and checks in collateral files and documents in support of new loan originations.
  • Performs file pulls, researches for accuracy, and forwards documents to requesting departments.
  • Completes service requests from Silverton Mortgage by pulling requested collateral documents, endorsing documents, having documents signed by authorized agents, and shipping documents to new investors.
  • Handles receipting in trailing documents for Silverton Mortgage funded loans.
  • Participates in the process of releasing original trailing collateral documents for Silverton Mortgage to new investors.
  • Performs investor relocations when necessary.
  • Adheres to compliance and confidentiality in managing sensitive customer information.
  • Works to maintain organization and tidiness within the document vault.

Research and Audit

  • Researches documentation for accuracy in filing, and for locating missing files and documents.
  • Performs audits on files to ensure complete with required documents in case of creating Ginnie Mae pools, bulk sales, as well as scratch and dent sales.
  • Completes loan purchase due diligence as needed.

Support Various Departments within VMF

  • Administers pulling original documents upon request in support of department processes within VMF.
  • Participates in pulling and logging documents for Silverton Mortgage loan sales.
  • Performs proper execution of Silverton Mortgage Note releases for purchasing investors.
  • Assists in accurately processing Silverton Mortgage trailing documents.

QUALIFICATIONS:         

  • High School diploma or equivalent required.
  • 0-2 years related experience preferred.
  • Basic computer skills with ability to type at least 25 wpm.
  • Working knowledge of AS/400, Microsoft Word, and Excel a plus.
  • Ability to communicate effectively and efficiently via phone, email, and person to person.
  • Capability of gathering facts accurately, analyzing causes, evaluating alternate solutions, and arriving at sound conclusions on action to be taken.
  • Ability to manage multiple and/or conflicting responsibilities.
  • Great attention to detail and organizational skills.
  • Ability to work in a team environment.

PHYSICAL DEMANDS:

  • Must be able to remain in a stationary position 75% of the time.
  • Will be constantly operating a computer and other office productivity machinery, such as a telephone, calculator, copy machine, and computer printer.
  • Must be able to identify and assess account status and determine appropriate process.
  • Will constantly work in a state-of-the-art indoor temperature controlled, sealed window office environment.
