Job Summary: This is a Full-Time, Permanent position in the Office of Admissions at the United States Merchant Marine Academy.

Major Duties:

  • Admissions Assistant: Assist with processing and securing supply and service orders (e.g. transcribe orders, approval submission, acquisition of goods, and receiving verification). Serves as office receptionist and initial point of contact with all visitors. Prepares information packages for congressional and college recruitment events. Establishes and maintains paper/digital applicant files and database records. Prepares correspondence for inquires, applicants and admission contacts. Answers telephone and email inquiries, and provides basic information regarding the admissions process. The ideal candidate is a highly motivated professional who has worked in a college or university Admissions Office and has the knowledge, skill and ability to perform all customer service and computer-related duties essential to the processing and evaluation of prospective candidates. PLEASE NOTE: This announcement establishes an open continuous (6 month) vacancy announcement. Qualifications: To meet the minimum qualifications for this position, you must meet the specialized experience. To qualify for the GS-06, you must have at least one year of equal or equivalent experience equal to the GS-05, which includes: Experience with procedures and requirements, including deadlines, and an evaluation process. Experience performing duties necessary to support administrative clerical and technical functions of an office. Experience using personal computer operations and software programs. You cannot qualify for the GS-06 on education, you must have experience. To qualify for the GS-07, you must have at least one year of equal or equivalent experience equal to the GS-06, which includes: Experience using computer software to generate reports and correspondence. Experience locating and interpreting regulations/policy. Experience prioritizing work duties and meeting deadlines. Experience in customer service and conflict resolution. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Attention to Detail - Is thorough when performing work and conscientious about attending to detail. Clerical - Knowledge of filing, typing, entering data, maintaining records, taking shorthand, and using and completing forms. Computer Skills - Uses computers, software applications, databases, and automated systems to accomplish work. Interpersonal Skills- Treats others with courtesy, sensitivity, and respect. Considers and responds appropriately to the needs and feelings of different people in different situations. Oral Communications- Expresses information (for example, ideas or facts) to individuals or groups effectively, taking into account the audience and nature of the information (for example, technical, sensitive, controversial); makes clear and convincing oral presentations; listens to others, attends to nonverbal cues, and responds appropriately. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
