Responsibilities
- Team Leadership & Development
- Directly manage a team of Executive Assistants.
- Set clear expectations for service levels, responsiveness, and professionalism.
- Coach, mentor, and develop EAs; provide performance feedback and career growth.
- Lead hiring, onboarding, and training of new administrative staff.
- Build bench strength and coverage models (PTO, surge support, transitions).
- Pooled Support Operations
- Own allocation of EA resources across leaders and teams.
- Balance workload and adjust assignments as business needs evolve.
- Establish intake and prioritization mechanisms for executive requests.
- Ensure continuity of support during organizational changes.
- Process & Standardization
- Create repeatable processes for calendar management, travel, expenses, events, and document workflows.
- Drive adoption of common tools and best practices.
- Define and monitor service metrics (turnaround time, coverage, satisfaction).
- Reduce noise and ad hoc work through structure and clarity.
- Executive Partnership
- Gather feedback from supported leaders and translate it into improved service delivery.
- Act as an escalation point for conflicts, bandwidth constraints, or priority calls.
- Anticipate needs and proactively recommend improvements.
- Operational Excellence
- Identify opportunities for automation, consolidation, and efficiency.
- Manage vendor relationships tied to administrative services.
- Support company events, board interactions, and cross-functional initiatives as needed.
- What Success Looks Like
- Executives receive reliable, high-quality support with fewer escalations.
- EA workloads are balanced and coverage is predictable.
- Standard processes are documented and consistently followed.
- The administrative team is engaged, developing, and retained.
- Leadership spends less time coordinating support and more time executing.
Qualifications
- What We’re Looking For
- 5+ years of experience in executive administration, business operations, or team leadership.
- Experience managing administrative or shared services teams strongly preferred.
- Proven ability to bring order, prioritization, and scalability to fast-growing environments.
- Strong judgment and discretion with sensitive information.
- Excellent communication skills and executive presence.
- Comfortable influencing senior leaders while advocating for team capacity.
- Highly organized, systems-oriented, and process driven.
