Job Summary:
The Front Office Receptionist at our Wilmington, NC location will be responsible for accurate and efficient patient registration utilizing our medical systems. This individual will verify patient insurance coverage through our medical necessity tools, adhering to established policies and procedures. Providing exceptional customer service to physicians, patients, family members, and other medical professionals will be a key component of this role.
Essential Duties and Responsibilities:
- Greet patients and visitors either in person or over the phone, addressing inquiries or referring them as necessary.
- Document patient arrivals in the Practice Management System (EMR).
- Confirm patient identities by date of birth and name, creating new accounts for newcomers.
- Prepare necessary paperwork for patient appointments in advance.
- Contact “No Show” patients to reschedule and make appropriate notations in the system.
- Schedule appointments to enhance patient satisfaction, optimize provider time, and ensure effective use of treatment rooms.
- Respond to emergency situations with quick and sound judgment.
- Review and update information in the Practice Management System (EMR) with patients.
- Determine payer sources, verify insurance eligibility, and communicate financial statuses. Notify the Billing Department of any required prior authorizations.
- Maintain a clean and organized reception area.
- Record and update financial information, including collecting copays and balances during check-in/out.
- Protect patient rights by ensuring confidentiality of personal and financial data.
- Follow established operational policies and procedures while reporting necessary changes.
- Contribute to team efforts by achieving related goals as needed.
- Exhibit superior customer service skills consistently.
- Answer the telephone promptly and politely.
- Communicate courteously and professionally with patients, visitors, providers, and team members.
- Perform other duties as assigned by the Practice Manager or Area Practice Manager.
Requirements
Minimum Qualifications:
- High School Diploma required; Associate's Degree preferred
- 1 year of customer service experience in a healthcare office preferred
