About Trivium

Trivium is a fast-scaling, award-winning Amazon advertising agency led by business partners Daniel and Mina Elias, recognized for helping brands grow profitably. We are a high-performance, dynamic team seeking a highly organized, proactive Personal Assistant to support both founders across their professional and personal lives, while working closely under the guidance of the Executive Assistant (EA).

This is a fully in-person role based in Brickell, Miami — ideal for someone detail-oriented, resourceful, and hands-on, with a strong ability to manage household organization and day-to-day logistics seamlessly.

The Role

As Personal Assistant to the Founders, you will play a key role in ensuring Daniel and Mina’s business and personal operations run smoothly and efficiently. This role spans household management, personal logistics, errands, travel readiness, and detailed organization projects, allowing the founders to remain focused on growth and performance.

You will report directly to the Executive Assistant, not to the founders. The purpose of this role is to reduce the founders’ daily mental and operational load — not add additional management overhead. You will coordinate closely with the EA and provide only essential updates to Daniel and Mina as needed.

This is a variable-hours role, requiring flexibility. Some weeks will be busier than others.

Key Responsibilities

👥 Direct Support & Communication

  • Support both business partners, Daniel and Mina, across personal and household needs.
  • Report directly to the Executive Assistant and operate as her right hand.
  • Anticipate needs proactively and resolve day-to-day matters independently.
  • Escalate only critical issues that may impact the founders’ schedules or priorities.

🏡 Household Organization & Management (Core Function)

This role requires someone who genuinely enjoys organization and structure.

  • Organize and maintain the home, including:
    • Closets, drawers, cabinets, pantry, and storage spaces
    • Seasonal wardrobe organization and rotations
  • Maintain tidy, functional, and visually organized living and working spaces.
  • Reset shared spaces daily (kitchen, living areas, workstations).
  • Handle light household projects (organizing systems, assembling items, reconfiguring storage).
  • Coordinate with cleaners, handymen, and other service providers; oversee work completion.

🔍 Online Research & Vendor Sourcing

  • Conduct strong online research to source:
    • Stores, vendors, service providers, specialty items, and household needs
  • Compare options, reviews, pricing, and availability before recommending solutions.
  • Build and maintain a trusted vendor list with notes and preferences.
  • Coordinate bookings, pickups, and payments per EA guidance.

🗓 Appointments, Errands & Logistics

  • Coordinate appointments (grooming, car services, dry cleaning, household services).
  • Run errands as needed (shopping, pharmacy, returns, pickups).
  • Manage mail, packages, returns, and refunds; maintain a simple tracking log.
  • Ensure household supplies are stocked proactively.

✈️ Travel & Readiness Support

  • Assist the EA with travel preparation and logistics for Daniel and Mina.
  • Pack, unpack, and reset after travel using detailed checklists.
  • Ensure essentials (clothing, toiletries, chargers, personal items) are always travel-ready.
  • Be flexible with hours around travel days as needed.

Requirements

What We’re Looking For

Required Qualifications

  • 1+ year experience as a Personal Assistant, Executive Assistant, or similar role.
  • Extremely organized with a strong eye for detail.
  • Comfortable organizing homes, closets, and personal spaces.
  • Strong online research skills and problem-solving ability.
  • Valid driver’s license, reliable personal car required, and clean driving record.
  • Local to Miami; able to reach Brickell within ~30 minutes.
  • High discretion and professionalism.
  • Tech-savvy with basic office tools.

Preferred Qualifications

  • Experience supporting founders, partners, or C-level executives.
  • Background in household management, luxury service, or hospitality.
  • Familiarity with task or project management tools.

Schedule & Availability

  • Variable hours (no guaranteed minimum).
  • Flexibility required, including occasional evenings or weekends.
  • Fully in-person role in Brickell, Miami.
  • Immediate start.
