Job Summary
The Executive Assistant provides high-level support to the CEO and COO and ensures the executive team can focus on top priorities without administrative bottlenecks. This role manages complex, rapidly changing calendars; coordinates meetings and travel; tracks priorities and follow-through; and handles sensitive information with discretion. The Executive Assistant thrives in a fast-paced environment, manages competing priorities with minimal oversight, and operates with a high degree of ownership, judgment, and professionalism. The successful candidate will thrive in a dynamic start-up environment, wearing multiple hats and contributing to many areas of business development.
Education/ Experience
- High school diploma required, advanced degree preferred.
- 10+ years of experience supporting C-suite or senior executives in a fast-paced, corporate work environment.
- Proven experience managing complex schedules, travel, and communications for senior leaders.
Supervisor
Chief Executive Officer and Chief Operating Officer, unless otherwise designated.
Typical Job Duties and Responsibilities
- Own and manage complex, rapidly changing calendars for the CEO and COO, including meetings, travel, internal reviews, board interactions, and external partner engagements.
- Prioritize requests and make informed decisions about scheduling tradeoffs.
- Anticipate conflicts, prepare contingencies, and keep executives on time and focused.
- Prepare daily schedules, briefing notes, and pre-read materials.
- Serve as the central point of communication for executives, ensuring timely follow-up and action tracking.
- Coordinate internal deadlines, deliverables, and follow-through across departments.
- Organize travel, logistics, itineraries, and expense reports with accuracy and efficiency.
- Maintain organized records, documents, and systems to improve workflow.
- Assist with meeting setup, agendas, notes, and next steps.
- Identify and resolve issues before they become problems, proposing solutions and recommendations.
- Build strong relationships across the organization to facilitate smooth operations.
- Develop systems, templates, and processes to reduce administrative load on executives.
- Coordinate events, catering, logistics, party planning, rsvps.
- Oversee office supply orders, swag orders, and keep common areas clean and organized.
- Handle sensitive company and personal information with absolute discretion.
- Represent the executive office with professionalism in all communications.
- Abide by all policies and procedures established by DISA.
- Attend and participate in all required safety trainings.
- Assist with any task required by the direct supervisor.

Physical Requirements
- Must be able to sit and/ or stand for extended periods of time.
- Must be able to lift up to 25 lbs. occasionally.
- Must be able to interact with people and technology while either standing or sitting.
- To best service our customers, all employees must be able to communicate face-to-face and on the phone with or without reasonable accommodation.
- Ability to travel up to 25% for board meetings, offsite retreats, or key events.
- Must be able to perform repetitive tasks such as typing.
