About the Role:
Reporting to the Chair, Department of Accounting, the incumbent provides a broad range of administrative, planning, program, and financial support to the Chair, faculty, students, and Centre Director, to ensure efficient day-to-day and annual operation of the Department of Accounting. The Administrative Assistant further functions as the information resource person and liaison between faculty, staff, students, and other university units. The incumbent is responsible for graduate programs and the CPA Research Centre.
The Administrative Assistant will:
Respond to daily walk-in, telephone, e-mail inquiries from prospective and current students, faculty, staff, and external contacts;
Provide administrative support to the department Chair, faculty, staff, and committees; monitor and communicate timelines and key dates/deadlines, prepare materials related to graduate courses, research, conferences, meetings, and faculty initiatives, and facilitate the movement of materials through various approval processes;
Orient new Chairs, faculty members, and part-time instructors to administrative responsibilities, timelines, procedures, and filing system related to graduate and business law courses;
Assist the Chair to schedule meetings/conference calls, in-person or online, prepare and distribute meeting agendas and materials, record and distribute meeting minutes, order food/beverages and book rooms;
Arrange logistics and accommodations related to travel, meetings, conferences, luncheons, and events;
Maintain filing systems of all departmental material, activities, and records, ensuring that all files are accurate and complete, including hardcopy and computerized records;
Assist in the completion of graduate teaching schedules, collect teaching preferences from faculty, review schedule to resolve any conflicts, indicate time and room preference, and equipment needed, track course releases;
Process and advertise job postings for graduate instructors, teaching assistants, and marker-graders on job board; evaluate and rank qualifications of candidates in accordance with the collective agreement for Chair’s approval; compose and send offer letters to successful applicant;
Assist with MSc program, track student hours, hiring, and paperwork;
Facilitate the hiring, orienting and scheduling of proctors for graduate courses;
Enter contracts and timesheets for graduate faculty overload, part-time instructors, marker graders, proctors and students;
Provide administrative support to the Centre Director, informing the Director of daily administration for the Centre, alerting to issues and upcoming deadlines;
Assist in Senate application and CPA funding application;
Maintain the Centre website with up-to-date information on research and events;
Alternate with undergraduate administrative assistant to input and submit annual department budget on Adaptive Planning portal;
Review and process expense reports for events, including acting as delegate, create purchase requisitions, cheque requisitions, and other financial items,
Key Skills and Experience:
Post-secondary courses including computer applications, office administration, or related courses. The equivalent combination of education and experience would be considered;
Experience in a reception and/or administrative support role;
General administrative knowledge, including task time management, document organization, meeting documentation, excellent writing, grammar, and proofreading skills;
Solid computer competency in word processing, spreadsheet, database, web applications, email, among other office computer applications;
Knowledge of records management and privacy requirements and best practices;
Excellent writing, grammar and proofreading skills;
Promotes and embodies inclusivity and respect within the workplace and the broader community;
Strong written, verbal, listening, and interpersonal communication skills, including the ability to exercise tact, discretion, and confidentiality;
Strong customer service skills;
Strong initiative and ability to function as a self-starter;
Excellent attention to detail with a high degree of accuracy;
Ability to provide sound judgment in responding to questions and serving as a resource person for the department;
Strong organizational skills with the ability to multi-task and prioritize to meet deadlines;
Effective in working independently and as part of a team;
Adaptable and flexible when working in a fast-paced environment; and
Ability to problem solve a variety of requests and scenarios; identify issues and recommend solutions to scheduling and hiring.
Preferred or Asset Skills:
Experience in event management, organizing conferences and symposiums;
Educational background in business and/or accounting;
Previous working experience within a business school.
Salary and Total Rewards:
Job Grade OSSTF H, Salary Scale ($44,583-$61,847);
This is a fixed-term contract that includes full comprehensive benefits.
This position will be required to work on site 4 days per week.
This position is included in the Ontario Secondary School Teachers Federation (OSSTF) Union and:
Salary is therefore determined by the OSSTF Collective agreement. *
New members shall be placed on the salary grid at the entry level.
