Overview:

 

Under general supervision, administers the warranty recovery operations to maximize cost recovery and ensure compliance with OCTA Warranty Department goals. Responsibilities include processing warranty claims, negotiating settlements, and monitoring and analyzing warranty program performance.

 

This is a non-exempt position in Salary Grade ­­180: Min $36.86 – Mid $44.03 – Max $51.20 hourly. The starting salary will be within this range based on qualifications.

Responsibilities:

Has Technical and Professional Expertise: Has the technical skills, product knowledge and professional skills to do the job.

  • Prepares, processes, and forwards claims to vendors using online/manual applications and negotiates settlements for credit or replacement of parts.
  • Ensures accurate reconciliation of vendor reimbursements related to parts and labor claims or manages reconciliation of funds received from vendor claims for parts and labor expenses. Tracks aging warranty claims and claim acknowledgements from vendors. Processes and monitors all warranty payments due, as well as payments made through the Accounting Department for reconciliation.
  • Develops and prepares the warranty portion of specification packages and coordinates warranty requirements with Contracts and Material Management (CAMM) and the Maintenance Department.

 

Solves Problems & Analyzes Issues: Has and applies problem analysis and problem-solving skills on a technical and interpersonal level.

  • Evaluates capital equipment bids to ensure adherence to warranty
  • Assists in developing warranty procedures by working with CAMM management. Recommends changes to the program when necessary.

Communicates Powerfully & Prolifically: Shares insights on issues/problems, clarifies purpose and links that purpose to actions.

  • Represents the agency on disputes arising from warranty
  • Ensures warranty program is implemented by working with base supervisors from CAMM and the Maintenance Department.
  • Communicates effectively, clearly, and persuasively, conveying information that links purpose to action and ensures alignment across teams, both verbally and in writing.
  • Assists in training parts room staff and mechanics on the appropriate methods of identifying and processing warranty items.
Qualifications:

Any combination of education and experience equivalent to an associate degree in an applicable field and a minimum of five years of experience in warranty administration and materials management.  Possession of a Warranty Administration Certificate or equivalent training (i.e., Automotive Business Management Certificate, Claims Management Certificate, ASE Certification, OEM Warranty Administrator Training, or Service Operations/Dealership Management Certificate) is preferred.
