Mitchell Hamline School of Law is seeking to hire a full-time Assistant Director of Facilities. The Assistant Director of Facilities will accompany and assist the Director in overseeing and implementing plans and policies that promote quality and excellence throughout the Mitchell Hamline School of Law community. This position oversees the work activities performed by Custodian and Maintenance staff, and is responsible for scheduling staff shifts, monitoring staff attendance, reporting absences, and conducting performance reviews. Additionally, this position will display effective leadership skills to ensure the timely completion of the assigned Custodian and Maintenance staff duties.

Essential Duties and Responsibilities:

Supervise the work activities performed by Custodian and Maintenance staff

  • Schedules all custodial staff shifts
  • Schedules, assigns, and coordinates projects
  • Coordinate staff adjustments due to absenteeism
  • Performs all Custodial duties necessary in instances of staff shortages
  • Coordinate weekend and evening cleaning needs
  • Performs inspections and follow up with staff to ensure established standards are met
  • Performs building and grounds inspections
  • Provides training on appropriate cleaning methods and safe operation of all equipment
  • Ensure time sheets are accurately submitted and on time

Provide customer service to the School community

  • Coordinate event set ups
  • Coordinate the completion of work orders and review of completed assignments
  • Respond to customer requests and follow up with clients
  • Orders supplies and products needed for the department
  • Maintains adequate inventory of supplies and products needed for the department
  • Coordinate with contractors as needed
  • Coordinate responses to emergencies as needed
  • Coordinate with custodial and maintenance staff on snow removal
  • Coordinate with custodial and maintenance staff on landscaping projects

Project Management

  • Researches, estimates costs, recommends, and coordinates facilities projects including costs for labor, equipment, and materials
  • Oversees construction and design projects to ensure compliance with applicable codes, regulations, architectural standards, and contractual requirements

Complete administrative and reporting tasks

  • Provides performance reviews to custodial and maintenance staff
  • Resolves conflicts between custodial and maintenance staff in an efficient manner
  • Oversees and conducts progressive disciplinary action on an as needed basis
  • Screen and hire new Custodial and Maintenance staff
  • Attends meetings and in-service training sessions as required

Secondary job activities:

  • Space Planning: Office set-ups and furniture assembly and placement
  • Provide back-up coverage to Security and the front desk
  • Perform incidental custodial and maintenance duties, including assisting with snow removal
  • College errands as required
  • Maintain vehicles (i.e., car wash, oil changes, licensure tags, etc.)
  • Follow guidelines for chemical use per right to know, including the proper storage of chemicals
  • Maintain the Safety Data Sheet (SDS) documents
  • Ability to recognize hazards and take safety precautions to eliminate them and/or report to Director of Facilities
  • Other duties as apparent or assigned by Director of Facilities

Minimum Qualifications:

  • High school diploma plus some specialized training of less than two years (e.g., technical or business school)
  • Three years of custodial, maintenance or other related experience
  • Previous Facility management, Housekeeping, Environmental Services or Janitorial experience
  • Valid driver's license
  • Acceptable background check
  • Acceptable motor vehicle record check
  • First aid certification, or ability to obtain within the first 30 days of employment

Preferred Qualifications:

  • Associate degree or two-year program
  • Bachelor's degree obtained through a formal four-year program
  • CPR certification, or ability to obtain within the first 30 days of employment

Pay Range

The estimated salary range for this position is $72,000 - $95,000 per year.
