Primary Purpose:
Assist in the prompt and accurate payment of all expenses incurred by the district. Work under close supervision and follow established procedures to process purchase orders and invoices and maintain accounting records. Greet and assist guests and receive incoming calls and direct them to the appropriate staff member.

Proficiency in use of calculator and other office machines
Knowledge of basic accounting procedures
Knowledge of ascender is a plus.
Experience:
Major Responsibilities and Duties:
1. Match invoices with proper purchase orders; ensure completeness and accuracy of invoices and shipment.
Receive and set up for payment all accounts payables invoices, purchase orders, etc.
Detect and resolve problems with incorrect orders, invoices and shipments.
Contact district personnel and vendors to correct or obtain information needed.
Confirm balances in accounts when encumbering purchase orders.
Prepare and distribute paid invoices at designated times.
File office copies of checks, invoices and purchase orders.
Assist with annual financial audit.
Communicate current status of invoices with campus staff.
Keep records up-to-date.
Maintain vendor files and set up new accounts when changes occur, i.e. W9s, tax exempt status, address changes, etc.
Conduct periodic checks of travel reports and food service orders and other accounts payables.
Pull invoice copies for Head Start Report.
Run monthly postage reports.
Receive incoming calls, answer questions and direct calls to the proper party.
Greet all guests coming to the central office and direct them to appropriate personnel.
Assist with elections and serve as early voting clerk as needed.
Maintain calendar for use of district facilities and process facility use request forms.
Distribute incoming and outgoing mail.
Order supplies for workroom equipment, including postage for postage meter.
Perform other duties as assigned.
