Summary: The Assistant General Manager is responsible for the management of the Cost-Center residential areas of the Community and plans, organizes, and directs community events. Responsible for overseeing the maintenance and operations of all recreation/social facilities and all parks of the Portola Springs Community Association. Provides support and assistance to the General Manager with completion of other management obligations including having the authority to make decisions in managing the community in the GM’s absence.

Requirements

Essential Job Duties and Responsibilities: 

  • Manages the Common Area maintenance and Homeowner activity in the Community’s Cost Centers. 
  • Manages the recreational facilities such as pools, parks, and clubhouses. 
  • Oversees daily activity of the Compliance Coordinator and Association Community Manager.
  • Conducts regular inspections and evaluates recreation facilities, maintenance activities and safety conditions and proactively addresses maintenance, repair and replacement issues including, but not limited to, obtaining proposals as necessary for non-contracted maintenance issues and long-term replacement items. 
  • Manages vendors and acts as liaison for all vendors performing work on-site when related to facilities and/or parks. Approves vendor repair proposals, coordinates on-site meetings, and advises Board as needed.  
  • Assists in the creation and presentation of recommendations for changes to policies, rules and programs related to the operation and/or use of the recreation facilities and/or parks. 
  • Completes punch list items as assigned by the General Manager. 
  • Creates Executive Session Board Packets for Board of Directors Meetings.
  • Acts as co-host for Board Meetings virtually and/or in person. 
  • Coordinates and conducts turnover walks in the cost-center neighborhoods. 
  • Monitors and updates community website. 
  • Responds promptly to homeowner inquiries. 
  • Communicates facilities and event updates to the membership via e-blast. 


Responsibilities for Community Events 

  • Manages, plans, and coordinates all annual and special community events. 
  • Obtains proposals from vendors for community event services, makes recommendations, and presents them to the Board of Directors for approval as needed. 
  • Serves as staff liaison and provides administrative support to volunteer committees. 
  • Prepares and presents to the Board of Directors written financial reports per activity and future event proposals as necessary. 


Responsibilities for Facilities & Parks 

  • Conducts regular inspections and evaluates facilities, maintenance activities and safety conditions and proactively addresses maintenance, repair, and replacement issues such as, obtaining proposals as necessary for non-contracted maintenance issues and long-term replacement items. 
  • Facilitates support functions and compliance with Police, Fire, Public Works, and other municipal/governmental agencies. 
  • Maintains direct communication with all service providers that impact the appearance, safety, and working condition of the recreation facilities. 
  • Oversees all Community sponsored recreation and social events. 
  • Monitors the services of the aquatics vendor, swimming instructors, and swim coaches. 
  • Follows approved priority use of facilities guidelines when scheduling private parties, monthly meetings, annual meetings, public election polling place, etc. 
  • Practices and adheres to Keystone’s Core Values, Mission and Vision.
  • Any additional job duties as required by the supervisor. 


Qualification Requirements: 

  • Must possess a valid Driver’s License and maintain a clean DMV record.
  • Must have reliable transportation and the ability to drive to and from communities.
  • Excellent customer service skills 
  • Exceptional organizational and time management skills 
  • Ability to communicate effectively and efficiently
  • Knowledge of related safety practices 
  • Ability to work a Flexible Schedule as necessary. 
  • Must have the ability to work weekend events if applicable. 
  • Able to pass a background check. 


Education and/or Experience: 

  • 2 or more years of experience working in a facilities or events related role.
  • High School Diploma or GED.
  • Bachelor’s Degree desired.
