Medical Records Assistant Description
Position Summary:
Responsible for the maintenance and security of all medical records, as well as auditing charts for completeness prior to permanent filing.
The staffing of the Summit Medical Center is based on a teamwork concept. Employees may be cross-trained in other administrative areas and may be expected to perform duties beyond their normal responsibilities as staffing and patient needs change.
Responsibilities:
- Organize and manage patients' health information data
- Ensures that institutional policies and procedures for maintenance of medical records are followed.
- Maintain electronic health records (EHR) databases
- Maintain data on patient safety, patterns of disease, and disease treatment and outcome
- Codify patients' medical information for reimbursement purposes
- Develops and implements procedures to respond to subpoenas and insurance company requirements for information to ensure that released information meets legal requirements.
- Creates and directs procedures to assure proper completion and flow of records and reports.
- Ensures the availability of medical records for various committee reviews.
- Notifies physicians of delinquent chart status, following through with suspension notices, if necessary.
- Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of the latest trends in the field of expertise.
- Maintain security of all medical records
- Scans reports and other documents in medical records
- Audits medical records for completeness and appropriate signatures
- Answers phone for incoming call as necessary
- Performs all other duties as assigned
- Maintains confidentiality of patient and center-related business
- Develops and maintains an effective working relationship with patients, families, visitors, and other center employees
- documents concisely, precisely, and accurately on all records or documents as indicated by policy.
- Participates in Quality Assessment activities as directed for the continuous improvement of patient care and center business
Qualifications
Qualifications:
- High School graduate or equivalent.
- Basic office skills.
- Must be alert, honest, and of good character.
Special Skills and Knowledge:
Knowledge of Medicare, JC, DVN, HIPAA, and state regulations for hospitals.

- Ability to read and write (legibly).
- Ability to communicate appropriately and effectively.
- Ability to respond quickly, physically, and mentally as the need arises.
- Compliance with the attendance policy.
