Position Objective
The Audiology Patient Access Representative plays a vital role in ensuring a seamless and welcoming experience for patients from arrival to departure. This front-line position is responsible for managing patient flow, handling administrative and clerical tasks, and serving as the primary point of contact for patients in an audiology clinic or department.
Essential Responsibilities
- Patient Reception
- Greet patients warmly and professionally.
- Answer incoming calls and respond to initial inquiries.
- Schedule appointments and manage patient communications.
- Check-In/Check-Out
- Process patient check-in and check-out procedures.
- Collect co-pays and handle payment transactions.
- Administrative Duties
- Prepare and maintain patient charts.
- Scan, route, and organize documents.
- Manage and update patient records.
- Scheduling & Coordination
- Schedule patient appointments and manage recall lists.
- Coordinate with clinical staff for referrals and pre-authorizations.
- Insurance & Billing
- Verify insurance eligibility and benefits.
- Handle pre-authorizations and assist with financial assistance or payment plans.
- Patient Support
- Provide appointment details and answer basic audiology-related questions.
- Address patient feedback and follow-up needs.
- Technology
- Use practice management software to manage patient data, appointments, and administrative tasks.
Other Responsibilities
- Perform all other related duties as assigned in a professional and responsive manner
- Demonstrate the ability to use relevant equipment
- Support, understand, and promote Alomere Health’s mission, vision, values, policies and procedures
- Ability to meet the work schedule requirements with flexibility dependent upon the needs of the department

Required Qualifications
- Six months or more of collection or healthcare experience
Preferred Qualifications
- Medical Secretary degree
- Six months of customer service experience
Knowledge, Skills and Abilities
- Knowledge of the EPIC system
- Knowledge of the billing process to analyze the accounts and answer patient questions regarding their bills
- Strong problem solving and critical thinking skills to handle multiple situations that arise
- Ability to work independently while paying attention to detail to make sure all accounts are worked timely
- Ability to communicate effectively in person and over the phone with patients, clients, fellow employees, and Physicians
- Strong decision making/analytical skills
- Ability to maintain confidentiality
- Ability to be flexible- will be rotated as needed for Alomere Health hospital, Alexandria Clinic, or Heartland Orthopedic Specialists
