Internal Project Manager Overview

The Internal Project Manager (IPM) plays a critical role in delivering a seamless home-building experience for our clients. This position serves as the central coordinator between clients, internal teams (sales, estimating, field operations), and key vendors to ensure every detail of the build process is documented, communicated, and executed accurately.

You’ll thrive in this role if you enjoy organizing complex projects, building strong relationships, and keeping multiple moving parts aligned. This is a fast-paced, customer-focused position on a high-performing, collaborative team.

 

What You’ll Do

Client Communication & Relationship Management (~30%)

  • Serve as the primary point of contact for clients throughout the build process, ensuring clear communication and timely updates.
  • Lead client meetings and walkthroughs at key construction milestones.
  • Act as liaison between clients, internal teams (sales, estimating, field operations), and vendors to maintain alignment and transparency.
  • Proactively address client questions and resolve issues to deliver an exceptional experience.

Project Coordination & Documentation (~45%)

  • Maintain accurate plans, specifications, and selections throughout the build.
  • Manage all project documentation and ensure timely updates for internal teams and vendors.
  • Prepare and submit permit applications and related documents to municipalities.
  • Track project progress and ensure alignment with timelines and budgets.
  • Support closing activities by preparing required documents and coordinating with relevant parties.

Ordering & Inventory Management (~5%)

  • Oversee ordering and tracking of non-inventory items, ensuring timely delivery and proper documentation.
  • Coordinate with warehouse and vendors to ensure materials are available when needed.

Cross-Functional Collaboration & Process Improvement (~20%)

  • Partner with sales, estimating, and field teams to ensure smooth handoffs and accurate project details.
  • Identify workflow bottlenecks and recommend process improvements.
  • Champion the use of technology tools to improve scheduling, communication, and operational efficiency.

 

What You Need to Get the Job Done (Minimum Qualifications)

  • Bachelor’s degree in business, construction management, project management, design, or related field (or equivalent experience).
  • Previous experience in project management or home-building operations is a plus.
  • Strong organizational and time-management skills with ability to manage multiple priorities.
  • Excellent communication and relationship-building abilities.
  • Tech-savvy and comfortable learning new systems quickly.
  • Detail-oriented with a focus on accuracy and quality.
  • Ability to work independently while collaborating effectively with the team.
  • Availability to work flexible hours, outside of 8am-5pm Monday-Friday, as needed to meet project timelines.
