Job Summary
The Organizational Process Knowledge Coordinator coordinates and supports knowledge management initiatives by executing strategies to capture, organize, store, and share critical organizational knowledge that enhances efficiency, fosters collaboration, and improves patient and employees’ experiences. This role focuses on logistics coordination, assisting with instructional design for knowledge-sharing, training programs, and maintaining knowledge management systems to ensure alignment with Sanitas’ mission of brand loyalty, operational excellence, and patient experience.

- Support knowledge capture and organization, assisting in identifying and documenting explicit and tacit knowledge from employees, leadership, and operational processes under the guidance of the Knowledge Manager. Coordinate updates to knowledge bases, ensuring content is accurate, well-structured, and easily accessible for staff.
- Compile and maintain best practices and compliance insights, gathering case studies and operational examples for inclusion in knowledge repositories to promote organizational learning and regulatory adherence.
- Coordinate knowledge-sharing initiatives, scheduling and organizing workshops, webinars, and collaborative sessions across teams. Prepare and distribute resources such as guides, FAQs, and training materials, ensuring timely delivery and alignment with organizational priorities.
- Assist in instructional design, collaborating with the Knowledge Manager to develop engaging training materials and refreshers focused on service culture, operational processes, and compliance. Support the creation of customized content based on medical center needs, employee feedback, and policy updates, including leadership onboarding resources and service recovery techniques.
- Incorporate de-escalation and service recovery techniques into training content, using real-world scenarios and role-playing exercises as directed
- Manage technology and platform support, assisting in the maintenance and updates of knowledge management systems, including LMS and related platforms. Troubleshoot basic technical issues, escalate complex problems, and support the integration of new tools or technologies to enhance knowledge storage and sharing.
- Coordinate training and onboarding logistics, organizing schedules, room setups, and material distribution for staff and leadership sessions. Assist in delivering training sessions and refreshers, ensuring alignment with Sanitas’ service culture values and operational goals.
- Collect and analyze feedback, gather participant input and performance data to evaluate training effectiveness. Assist in compiling metrics and identifying areas for improvement in knowledge-sharing processes and training programs.
- Support continuous improvement initiatives, helping implement enhancements to knowledge management systems and workflows based on feedback and guidance from the Knowledge Manager.
- Collaborate with stakeholders, acting as a liaison for HR, medical center leadership, and regional operations teams to coordinate knowledge management and training activities. Build relationships across departments to encourage adoption of knowledge-sharing practices and resources.
- Ensure alignment with organizational workflows, assisting in integrating knowledge management initiatives into daily operations so that knowledge is searchable, actionable, and supports operational excellence.

Required Education
Associate’s degree preferred or higher in human resources, business administration, education, information management, or a related field; a high school diploma with relevant experience may be considered
Required Experience
- 1–3 years of experience in administrative support, training coordination, or knowledge management, preferably in a healthcare or service-oriented environment.
Required Knowledge, Skills, and Abilities
- Strong organizational and coordination skills, with the ability to manage multiple tasks and deadlines efficiently.
- Basic instructional design skills, with the ability to assist in creating clear and engaging training materials.
- Excellent communication skills, with the ability to interact professionally with diverse teams and support knowledge-sharing initiatives.
- Proficiency in knowledge management systems, learning management systems (LMS), or related platforms; familiarity with e-learning tools is a plus.
- Detail-oriented with strong data entry and documentation skills to maintain accurate knowledge repositories.
Preferred Qualifications
- Certifications in training coordination, instructional design, or knowledge management (e.g., ATD Training Certificate) are a plus but not required
- Experience supporting instructional design, training delivery, or knowledge management systems is a plus.
- Familiarity with healthcare operations or service culture initiatives is preferred

This role is primarily based in a corporate office setting, with occasional travel to Sanitas Medical Centers for on-site support, training coordination, or collaboration
