Office Manager 

We are seeking a versatile, proactive individual to join our team as an Office Manager and Internal Event Support. This unique position will require a candidate with a diverse skill set - someone who has exceptional organizational and administrative abilities with a passion for managing a busy office with a 5-day-a-week in-office culture. The ideal candidate will also collaborate with the executive support team to plan and deliver engaging internal events that foster a positive and vibrant workplace.

The Impact you will Make

Office Management:

  • Oversee day-to-day office operations, ensuring a well-maintained and efficient work environment.
  • Ensure that the common areas are clean, neat, and presentable.
  • Manage office supplies, equipment, and facilities; maintain stock and inventory of coffee and refreshments; and address issues promptly. Must be able to lift boxes and heavy items. Liaise with vendors and service providers to ensure smooth office operations.
  • Distribute and process all daily mail and carrier packages, i.e., FedEx and UPS.
  • Manage all aspects of office and internal event catering.
  • Daily inspections for safety, paper for the copiers, clean restrooms, snacks, water, coffee, etc.
  • Manage building compliance in line with local laws and safety regulations.
  • Assist with financial management, including invoices and purchase requisitions.
  • Independently complete a wide range of workplace solutions, customer service activities, such as workspace set-up, A/V support, catering set-up and breakdown, welcome desk coverage, floor operations support, space utilization management, or other location services.
  • Make process improvement suggestions and implement changes as soon as possible to ensure a continued seamless office experience.
  • Manage critical company communications related to office operations. 
  • Meeting set up and breakdown. 

Internal Event Support:

  • Collaborate with various teams to plan, coordinate, and execute internal events, including team on-sites, all company on-sites, Kajabi Hero Live, and any other celebrations.
  • Assist in creating engaging in-person events to foster a positive workplace culture.Manage event logistics, catering, and coordination of audiovisual requirements, facility setup, hotel accommodations, promotional materials, and restaurant reservations.
  • Work closely with event organizers and teams to support planning and execution. 
  • Work closely with the HR team to support employee engagement initiatives.

  • You’re a master communicator. You’ll be working in person, in writing, and on social channels, and a grasp of business-level communication is a must.

  • You take confidentiality seriously. In this role, you’ll be handling extremely sensitive information, and absolute, complete confidentiality and discretion are a MUST.

Pay Range

At Kajabi we believe the workplace should be equitable, inclusive, and inspiring for every employee. In an effort to provide greater transparency, we are sharing the base salary range for this position. The position is also eligible for equity. Final salary is based on a number of factors including location, travel, relevant prior experience, or particular skills and expertise.

$32.00—$43.00 an hour + bonus
