Job Description Summary

JOB PURPOSE

Based on the activities assigned by his/her hierarchy, the sales assistant is in charge of all commercial sales administration.
He/she manages the administrative follow-up of customer orders, from the preparation of the proposal to the delivery of the goods payment collection.
He/she supports the sales teams in order to facilitate activity and contribute to the company's success customer satisfaction.

Job Description

SIGNIFICANT ACTIVITIESOrder management- Check and enter data (orders, customer data, etc.) into the business tool on the basis of information transmitted by the sales teams- Ensure the choice of financing method and the conformity of the file submitted by the customer- Verify costing on business analysis- Check with assembly teams when materials are ready for delivery and pass on information to customers and sales teams- Order transport from service providers- Trigger the equipment commissioning request in the business tool and transmit it to the customer information for sales teams- Processing and compiling financing files (funding applications, drafting contracts, etc.)- Process lease and financing terminations (equipment appraisal requests, repurchase requests, invoicing for damage, acceptance into stock, transport, etc.) and draw up any extension amendments- Prepare and send invoices (sales, rentals) to customers or financing organizations- Check and allocate supplier invoices and internal transfers- Check invoice payment in the business tool- Contribute to the collection of customer receivables (reminders, etc.) in collaboration with internal stakeholders- Participate in the analysis of used equipment inventory discrepanciesAdministrative management- Process customer requests (certificates, proforma invoices, etc.), as required- Draw up commission and/or bonus vouchers for sales teams in the business tool- Update sales monitoring dashboardsRESPONSIBILITIES AND SCOPE FOR ACTION- Take responsibility for administrative processing, from drawing up the sales proposal to collecting payment- Ensure the reliability and quality of data entered into the business tool - Be a privileged contact for sales teams and customers - Ensure the control and monitoring of sales team commissions - Know and apply internal and external compliance procedures and rulesPROFESSIONAL KNOWLEDGEDiploma(s) and/or experience(s)2 years' higher education in sales or administration and/or 2 years' significant experience preferredSpecific knowledge(s)Technical skill(s)- Professional administrative knowledge- Professional knowledge of sales (customer relations, etc.) - General knowledge of IT tools and information systems - Advanced elementary level in English (A2)Behavioral skill(s)- Interpersonal skills - Active listening- Organizational skills - Responsiveness - Autonomy
