Key Duties and Responsibilities:

- Lead, coach, and develop the Central Communications team to consistently deliver a warm, welcoming, and patient-first experience across all Trillion Health locations.
- Establish and monitor clear, measurable goals for call and communications performance that emphasize both efficiency and patient delight.
- Oversee scheduling of new patient appointments and intake, ensuring a smooth and positive first impression for every patient.
- Champion white-glove service standards, ensuring all patients receive accurate, compassionate, and comprehensive information.
- Monitor calls, emails, and virtual greetings to identify opportunities for process improvement, coaching, and team development.
- Create a culture of proactive problem-solving - empowering staff to anticipate patient needs and go above and beyond in service delivery.
- Ensure timely and professional responses to all patient and public inquiries.
- Oversee accurate processing of medication refill requests, insurance verifications, and patient registrations.
- Partner with clinical teams to ensure smooth triage, scheduling, and coordination, without overstepping clinical boundaries.
- Maintain high standards of accuracy, professionalism, and efficiency in patient communication, documentation, and scheduling workflows.
- Serve as an ambassador for the Trillion Health & Hormone brand, ensuring the Central Communications team represents the organization with professionalism, positivity, and trust.
Requirements
Education and Experience:
- High school diploma or GED required; bachelor’s degree in a relevant field strongly preferred.
- 3+ years of leadership experience in a call center, patient services, or customer experience environment.
- Healthcare experience preferred; medical certifications such as CNA or MA a plus.
- Demonstrated success in building, leading, and motivating high-performing teams.
Skills and Competencies:
- Exceptional communication skills—clear, empathetic, and professional in both verbal and written forms.
- Strong interpersonal and coaching skills, with a passion for developing others.
- Proven ability to foster a culture of accountability, positivity, and service excellence.
- Expertise with scheduling software, multi-line phone systems, and electronic health records (AdvancedMD or similar).
- High attention to detail, organizational strength, and ability to thrive in a fast-paced environment.
- Proactive, resourceful, and adaptable mindset with a “can-do” attitude.
