Essential Duties and Responsibilities
- Generate and process customer invoices, including vessel invoicing and wharf sheets.
- Enter revenue into subledger systems to initiate financial transactions.
- Maintain and update Excel-based invoice templates and customer rate sheets.
- Reconcile job status reports, job cost documents, and production analysis reports.
- Organize backup documentation to support invoice accuracy and audit readiness.
- Reconcile time sheets to payroll summary reports for billing accuracy.
- Create and update customer records in general ledger and subledger systems.
- Apply daily cash deposits to customer remittance information.
- Monitor accounts receivable aging and support timely collections.
- Collaborate with internal departments to resolve discrepancies and assist with month-end close.
- Performance Goal: Maintain AR aging with at least 90% of accounts current (under 30 days) on a rolling basis.
- Support system and reporting updates as needed.
- Work standard business hours, with occasional extended hours during month-end or audit periods.
- Perform other duties as assigned.
Qualifications
Required:
Experience:
- 2–3 years of experience in accounting or finance roles.
- Exposure to Dynamics GP, NetSuite, or similar ERP systems.
Knowledge:
- Basic understanding of revenue recognition, invoicing, and GAAP principles.
- Familiarity with general ledger and subledger systems.
Skills:
- Proficiency in Excel (e.g., formulas, pivot tables).
- Strong attention to detail and accuracy.
- Ability to manage tasks and meet deadlines.
- Clear written and verbal communication.
- Problem-solving and analytical thinking.
Preferred:
- Bachelor’s degree in accounting or related field.
- Familiarity with vessel operations or maritime billing processes.

This role requires the ability to see, hear, speak, and communicate clearly. Manual dexterity is needed for operating standard office equipment. The position may occasionally involve lifting items up to 10 pounds and may require occasional travel.

Work is typically performed in a clean, well-lit, and climate-controlled office environment with low to moderate noise levels. Occasional visits to field locations may be required.
