Purpose of Job
This position facilitates a closing, ensuring all documents and funds required to complete sales and loan transactions are properly prepared and executed. Provides work direction, assignments and training to other staff members. May work in a support role to another Escrow Officer or Branch Manager.
Job Duties and Responsibilities (Essential Job Functions)
- Oversee all aspects of the closing on files assigned.
- Receive and review new contracts, prepare escrow instructions, documents, and estimated closing statements for buyer, seller and lender, prepare file for signing as directed, final balance and disbursements.
- Monitor the closing and audit escrow files assigned
- Respond in a timely, professional manner to any customer inquiries.
- Handle all processing on files as needed and requested
- Request all necessary documentation and information and review for accuracy i.e. payoff, HOA disclosures. Abstract documents, title reports, loan documentation, and other pertinent information on files assigned
- Review file for completeness, compliance and ensure title issues are resolved prior to closing on files assigned
- Prepare and submit closed loan package, deposits and disbursement documentation, recording package, and/or commission package to appropriate department or entities.
- Prepare settlement statements and other required documents.
- Provide backup to escrow branch manager.
- Perform any additional responsibilities as requested or assigned.

- Support company established procedures for confidentiality, security of sensitive information and “clean desk” procedures
- Follow the company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential company information, attending work punctually and regularly, and following good safety practices in all activities.
Qualifications
Education:
- High school diploma or equivalent.
Experience:
- One to two years of supervisory experience preferred.
- Two to three years of experience as a Junior Escrow Officer.
Knowledge and Skills:
- Strong personal computer skills.
- Position may require strong marketing and sales skills.
- Superior communication skills, both written and verbal, including presentation skills. Strong interpersonal and customer service skills. Able to work as a member in a team-oriented environment.
- Ability to prioritize and handle multiple tasks and projects concurrently under deadline pressure, with ability to occasionally work extra hours during peak times of the month.
- High degree of integrity, self-motivated, organized, detail oriented, and possesses a strong aptitude for figures. Effective analytical and problem-solving skills.
Other (licenses, certifications, schedule flexibility/OT, travel, etc.):
- Position will require approval from the Department of Financial Protection and Innovation (DFPI) and EAFC (Escrow Agents Fidelity Corporation).
- Notary Public preferred but not required.
Wage: $28.00 - $40.00 hourly; actual wage is based upon education and experience. Potential for formulary incentive plan, based on financial results.
