About the Department


Provides legal assistance and technical support to the professional staff within and external to an assigned department. Prepares and processes legal documentation, researches/exchanges information and provides confidential and complex secretarial support to an assigned division.

NOTE: This role will have a strong focus on restitution. Skills in banking, bookkeeping, and handling/organizing of receipts is strongly preferred. This position will also provide coverage for receptionist/answering phones.

Position Duties


  • Provides confidential and complex assistance and support to professional legal staff and related law enforcement agencies including, but not limited to, drafting, preparing, developing, proofreading and verifying a variety of reports, letters, memoranda, forms, pleadings, motions, releases, affidavits, jury instructions and subpoenas.
  • Prepares charges, jury instructions, motions and other legal documents for attorneys.
  • Types and processes charges, warrants, summons, briefs, affidavits, petitions, orders, motions and other legal documents. 
  • Prepares dockets for distribution to attorneys and other staff.
  • Collaborates with court staff to ensure compliance with statutorily defined time frames.
  • Prepares legal case files. 
  • Reviews briefs, jury instructions and relevant cases. 
  • Photocopies documents for distribution.
  • Receives calls and visitors; responds to general complaints and requests for information as appropriate; conducts necessary research to respond to specific inquiries; interprets basic services, policies, rules and regulations and assists in resolving concerns and complaints; routes inquires appropriately for more complex matters and interpretation issues to the appropriate staff or agency. 
  • Coordinates legal activities and documents with judicial and penal systems, appropriate deputies and related parties.
  • Prepares summaries and reports as assigned; performs routine research; assemble and categorize case materials for trial. 
  • Contacts individuals and agencies and arrange receipt of reports and case materials. 
  • Utilizes current technologies to enter, store and/or retrieve information as required. 
  • Establishes and maintains a variety of complex, tangible files; file, retrieve, store, track and purge information as required.
  • Contacts victims and maintains ongoing liaison with them during the criminal justice process; provides referrals, explains court procedures and their rights, accompanies victims to court, provides assistant and support during the process and provides mandated services.
  • Arranges for victims’ compensation and other entities and services.
  • Maintains contact with attorneys regarding cases.
  • Maintains assistance records and prepares reports.
  • Collects and duplicates bills, records and other materials for victim compensation program.
  • Knowledge of criminal statutes preferred.
  • Maintains ticket books.
  • Maintains check fraud files.
  • Performs other duties as appropriate or necessary for performance of the job.

Minimum Qualifications


EDUCATION:

  • High School Diploma or GED equivalency required

EXPERIENCE:

  • Minimum of four years of progressively responsible office clerical experience required
  • Experience in a legal environment preferred
  • Skills in banking, bookkeeping, and handling/organizing of receipts are strongly preferred.
