QUALIFICATIONS:
- Bachelor’s degree from an accredited college or university preferred; degree in public administration, business, education, or a related field preferred.
- Minimum of 3-5 years of experience in office management or in a degreed educational setting in an administrative role or administrative support role.
- Experience managing operational logistics within an educational or organizational setting, such as scheduling, facilities use, or event coordination.
TERMS OF EMPLOYMENT:
Probationary/Term Contract: 250 days
SALARY:
$60,208 BA-3
Salary Range (based on experience) as set by the Board of Trustees for the school year
ESSENTIAL FUNCTIONS:
- Coordinate and manage all external (non-district) use of campus and specific district facilities across CFISD.
- Ensure compliance with district policy and administrative regulations.
- Maintain accurate scheduling and billing records.
- Support community engagement through equitable access to facilities.
- Provide administrative support for major district venues and events.
SPECIAL KNOWLEDGE/SKILLS:
- Working knowledge of facility operations, scheduling, and event coordination
- Familiarity with district policies and administrative regulations (e.g., GKD, CPC)
- Strong organizational, interpersonal, and communication skills
- Ability to manage multiple priorities and resolve scheduling conflicts diplomatically
- Understanding of scheduling systems and various online platforms or an ability to learn
- Ability to review, evaluate, and interpret data to support decisions
- Strong understanding of mathematical concepts including fee calculations, budgeting, and revenue tracking
- Understanding of basic emergency response protocols and ability to respond appropriately in coordination with district and campus staff
MAJOR RESPONSIBILITIES AND DUTIES:
- Serve as the centralized district contact for all external facility use requests
- Maintain and manage the district-wide calendar for facility availability and scheduling
- Coordinate with campuses and departments to ensure accuracy and prevent conflicts
- Ensure all facility use aligns with CFISD Board policy and administrative regulations
- Collect and verify documentation such as insurance certificates and supervision plans
- Enforce use agreements and respond to violations as appropriate
- Apply fee structures per the approved district rate schedule
- Generate and track invoices, monitor payments, and coordinate with the Business Office
- Track annual usage by rental hours and revenue generated
- Conduct an annual facility use rate comparison with neighboring districts to ensure alignment with current market rates
- Provide timely and professional responses to inquiries from community users
- Liaise between internal staff and external groups to ensure smooth facility use
- Coordinate and deliver annual training for campus-based facility use supervisors
- Offer guidance on policy interpretation and scheduling procedures
- Collaborate with custodial, security, and maintenance teams to prepare facilities
- Monitor facility use to ensure policy compliance and report any misuse
- Maintain accurate records of usage, agreements, billing, and incident reports
- Provide administrative support for the CFISD Exhibit Center and Pridgeon Stadium
- Coordinate and facilitate the Facilities Use Committee to support policy review and operational efficiency
- Participate in district leadership training and professional development opportunities
- Provide reports and updates to the Board of Trustees as needed
- Perform other duties as assigned by the Director of General Administration
Familiarity with school district departmental functions and the geographic locations of district facilities
