The One Stop Manager leads and oversees the operations of the UTM One Stop service center — a centralized hub within Enrollment Management dedicated to providing seamless support and service to prospective, current, and former students, their families, and university stakeholders. Reporting to the Assistant Vice Chancellor for Enrollment Management, the Manager is responsible for supervising One Stop staff, managing fiscal operations and budgeting, developing policies and procedures, coordinating cross-departmental workflows, and serving as the primary representative for the office.
 

Responsibilities

Key Responsibilities
A. Leadership & Administrative Oversight
•    Supervise the One Stop team: hiring, onboarding, training, coaching, and performance evaluation.
•    Establish staff goals, objectives, and priorities to ensure service delivery meets departmental and institutional timelines.
•    Monitor and assess workloads, workflows, and service quality to maintain efficient operations.
•    Develop, update and maintain office policies, procedures, and workflows for the One Stop.
•    Coordinate ongoing professional development and training for staff.
•    Maintain awareness and communicate changes in university, state, or federal policies and procedures that impact One Stop operations.
B. Student & Stakeholder Engagement
•    Serve as the primary representative of the One Stop to internal (academic departments, Enrollment Management units) and external stakeholders (students, parents, community).
•    Provide guidance and counsel to prospective, current, and former students and their families via phone, email, and in person.
•    Respond to complex inquiries, resolve issues, and minimize unnecessary referrals by leveraging knowledge of university processes and departments.
•    Collaborate with academic departments, functional area directors, and other campus partners to streamline student services and improve process integration.
•    Maintain a current working knowledge of other university offices and services to facilitate accurate referrals and service continuity.
C. Budgeting & Fiscal Management
•    Oversee the One Stop budget, ensuring monthly reconciliation and alignment with department goals.
•    Process and/or supervise procurement of supplies, software, and equipment for the One Stop office.
•    Manage payroll processes and departmental fiscal activity in accordance with university and state guidelines.
D. Special Projects & Other Duties
•    Lead or participate in special initiatives designed to enhance student service, workflow efficiency, or the One Stop operational model.
•    Serve on committees or task forces as required.
•    Perform other duties as assigned by the Assistant Vice Chancellor for Enrollment Management.

Qualifications

Minimum Qualifications
•    Bachelor’s degree in a related field and six years of relevant, progressively responsible experience, or an equivalent combination of education, training, and experience.

Preferred Qualifications
•    Master’s degree in higher education administration, business administration, or a related field.
•    Experience managing a student services center or multi-functional service unit in higher education.
•    Familiarity with student information systems (such as Banner) and enrollment management operations.
•    Strong communication, leadership, and problem-solving skills.
•    Ability to lead, motivate, and develop staff toward high performance and exemplary customer service.
•    Strong organizational, planning and workflow management skills.
•    Excellent interpersonal and written communication skills, with the ability to engage students, parents, faculty, and staff.
•    Commitment to customer-service excellence and improving the student experience.
•    Ability to analyze processes, identify improvement opportunities, and implement change.
•    Sound fiscal and budget management competency, with experience managing departmental resources.
