Job Description:
The Ivy College of Business Graduate Programs Office at Iowa State University is seeking a dedicated and student-focused Graduate Student Services Specialist II. This position provides comprehensive recruitment/admissions and advising support for the Ivy PhD Program and professional master’s programs in a multi-function, high-traffic office serving graduate students, faculty, staff, alumni, and prospective students. The role offers a unique opportunity to work closely with highly motivated graduate students from various backgrounds while contributing to innovative and collaborative program development.
Key Duties and Responsibilities
PhD Recruitment and Admissions
- Oversee admission application materials and processes for all PhD graduate programs and cross-train on Ivy graduate admissions.
- Manage the PhD program database of applicants, students, and alumni.
- Serve as the primary contact for prospective and incoming PhD students, maintaining regular communication.
- Assist with PhD promotional materials, website content, and recruitment events.
- Act as liaison between the Ivy PhD program, University Admissions, and the Graduate College.
PhD Advising Support
- Monitor Program of Study, graduation applications, and related processes; provide guidance to current students in collaboration with area coordinators.
- Maintain student files and academic records for the PhD program.
- Coordinate course scheduling and registration for PhD students with area coordinators.
- Disseminate information and manage processes for annual doctoral student teaching/research awards.
- Assist students in navigating university and program policies.
- Organize PhD student annual reviews and coordinate comprehensive exams with department chairs and area coordinators.
Professional Master’s Academic Advising
- Serve as academic advisor for students in Supply Chain Management (MSSCM), Accounting Analytics (MAA), and Healthcare Analytics and Operations (MHAO).
- Provide expert guidance on course registration, degree requirements, and graduation preparation.
- Participate on admissions committees and review applications for MSSCM, MAA, and MHAO.
- Manage course demand and enrollment planning in collaboration with the Advising and Records team.
Administrative Support
- Organize PhD program events, including new student orientation and networking opportunities.
- Prepare and submit data reports for the PhD Director and university stakeholders.
- Respond to phone, email, mail, and walk-in inquiries regarding graduate business program information.
- Oversee PhD graduate assistantship processing.
- Provide planning and administrative support to the Director of the PhD Program and Director of Professional Masters Student Services.
- Cross-train on admission and student record functions for all Graduate Programs.
Program Coordination
- Coordinate the Deep Technology Venture Creation Program in collaboration with faculty directors.
- Support students and faculty associated with the Deep Technology Venture Creation Program.
