About Marie Philip School:

MPS enrolls nearly 150 deaf and hard of hearing students on our Framingham, MA campus in an ASL/English bilingual, bicultural educational model. 


POSITION SUMMARY:

The Secondary Administrative Assistant provides administrative support for the day-to-day operations of the Secondary Department, ensuring smooth office coordination and communication.


SUPERVISOR: Secondary Senior Administrative Assistant


FUNCTIONS AND RESPONSIBILITIES:

Assist in answering phones for the Secondary Department and taking messages and forwarding them to the designated individual. 


Greet visitors, students, and staff in the Secondary office, including sending students to Nursing. 


Record student attendance and follow up with phone calls and emails. 


Make copies, create forms, print and distribute documents (sub plans, flyers, etc.) as requested. 


Monitor, order and distribute office supplies including copier paper.


Provide clerical and administrative support to all Secondary staff.


Oversee the maintenance of the copy machine and train others on its use. 


Input data accurately into databases, spreadsheets, and documents. 


Create and print mailing labels and mail letters as needed. 


Oversee the common areas ensuring that they are clean and stocked with supplies. 


Responds to inquiries from a wide variety of internal and external stakeholders for the purpose of providing information, facilitating communication among departments and/or providing direction may be required.


Assist the Senior Administrative Assistant to manage health emergency forms and coordinate and process forms and with Nursing.


Prepare forms for events and field trips; assist with event planning and field trip departures and arrivals. 


Pick up mail and/or packages from the mailroom and deliver to designated individuals in the Secondary department. 


Collaborate with Senior Administrative Assistant, Secondary Administrators, and Educational Administrative Assistants on a regular basis to maintain communication within the department and schoolwide.


Perform other tasks as assigned by the Senior Administrative Assistant, Department Supervisor and/or Program Leader.

Requirements

  • Associates Degree or equivalent experience preferred
  • Administrative/office experience preferred
  • A minimum of conversational fluency in American Sign Language required, with native, or near-native ASL fluency preferred
  • ASL Classes may be required based on ASL fluency 
  • Excellent customer service skills and communication skills 
  • Highly organized and detail oriented 
  • Ability to effectively handle multiple projects and work effectively in a busy setting
  • Ability to work both collaboratively and independently 
  • Strong computer skills
  • Ability to keep company and personnel information confidential

Physical Requirements: Must be physically able to perform all duties of the job including frequently lifting up to 25 pounds, bending, reaching above shoulder level, climbing stairs, pulling, typing, and prolonged standing or sitting.
