Office Assistant bei University of New Mexico

The UNM Department of Psychiatry and Behavioral Sciences Division of Community Behavioral Health (CBH) seeks an enthusiastic student (preferably with work-study) who can provide reception, administrative, and data entry roles to support faculty, staff and students.

This position will be responsible for providing in-office front desk reception coverage and requires a friendly, professional, reliable and organized individual who demonstrates strong initiative, attention to detail and possesses excellent time-management and communication skills. 

Job duties include, but are not limited to:

• Generate a positive impression of office by greeting visitors, staff, faculty and students.
• Answering telephone calls and forwarding messages with a high degree of professionalism.
• Picking-up and sorting mail and receiving packages.
• Process purchase and travel reimbursements using Chrome River.
• Assist faculty and staff with organizational and project requests.
• Input and verify data in prescribed formats, utilizing knowledge of various computer software packages.
• Complete data entry tasks following a standardized protocol when needed.
• Recognize issues requiring immediate attention and assisting with solutions.
• Troubleshoot minor technology issues.
• Assist with inventory management.
• Assist with filing, shredding and scanning.
• Perform other miscellaneous job-related duties as assigned.

This student position is an in-office position. Students are expected to prioritize work over homework. If no work is available, they are expected to meet with their supervisor for homework approval.

• Preference given to work study qualified student.
• Must have consistent availability during regular office hours
• Experience as a receptionist and excellent customer services skills.
• Skilled in the use of personal computers, Chrome River, Excel, Smartsheets, Teams, Zoom and other MS Office applications.
• Excellent verbal and written communication skills.
• Experience with data input and the ability to verify and correct errors.
• Ability to follow instructions and adhere to protocols and procedures
• Attention to detail
• Experience with the use of basic office equipment.
• Ability to maintain confidentiality of records and information.
