Cayuga Counseling Services, Inc. seeks a Full Time (40 hours per week) Administrative Assistant/ Medical Records to join our Administrative Department for our Trauma and Resiliency Services. The hours for this position are Monday, Tuesday and Friday 9am - 5:30pm and Wednesday and Thursday 10:30am - 7pm. The Administrative Assistant will join a team of professionals who support Agency initiatives and Program staff and interact with Agency clients in a trauma informed manner at the Main Office located in Auburn, NY.
Essential Functions include:
- Professionally greet clients and visitors of the Agency. Provide information to visitors regarding the Agency services and programs.
- Answer incoming telephone calls and direct to appropriate staff members.
- Assist with Data collection (i.e. Surveys) and data entry into the electronic databases used by the Clinic and SAVAR and Haven programs
- Assist Agency staff members with various clerical duties and preforms other clerical tasks as required.
- Make appointment reminder calls daily.
- Perform other administrative duties as necessary.
Medical Records:
- Maintain, organize and update patient medical records in compliance with HIPPA policies and procedures.
- Scan all paperwork into client's chart.
- Process requests for release of information in accordance with confidentiality and legal guidelines.
- Ensure accuracy and completeness of medical records, charts and electronic health record entries.
- Send all Health Assessments to Medical Director.
- Print, fax, or mail appropriate records to people and agencies according to laws and regulations. (Schools, Lawyers Office, DSS, Doctor's office, Sheriff's Department)
- Mail out all outreach and discharge letters when requested by staff.
Qualified Canidates:
Prior experience in an administrative position, must have a high school diploma or equivalent; the ability to effectively and efficiently handle multiple priorities; the ability to function in a fast-paced confidential environment; be willing to learn and be self-motivated. Preference will be given to candidates with prior experience in a similar medical setting. The ability to greet clients in a friendly manner and foster a pleasant and relaxed atmosphere. Required to maintain client and Agency confidentiality and abide by HIPPA regulations. EEO.
