Position: Coordinator, Pre-College Programs (Part-time)
Department: Office of Pre-College Programs
Reports to: Director, Pre-College Programs
Requirements: Bachelor's degree preferred, with a focus on human resources, academic affairs, student affairs, marketing and communications, or related field. Three to five years of relevant experience, including proficiency in office management, student life programming, marketing, and HR paperwork.
Primary Function: The Coordinator of Pre-College Programs will contribute to the successful engagement of middle and high schools with Point Park University by managing administrative functions, with a focus on HR paperwork and documentation during peak season operation. This role involves handling participant databases and providing logistical and administrative support for various dual enrollment and summer programs.
Duties:
- Act as the first point of contact for Pre-College Programs, addressing inquiries via email, phone, or in-person.
- Manage phone communications, social media, taking messages, and maintaining effective communications with external constituents and the university community.
- Handle email inquiries from shared accounts and individual accounts, ensuring timely and accurate responses.
- Develop and maintain participant databases, including demographic information, emergency contacts, and health history.
- Run reports of participants and collaborate with Enrollment Operations and Admissions to ensure enrollment outreach of prospective students from Pre-College Programs.
- Work with summer program directors on upcoming camps for schedule updates, supply orders, and curriculum changes.
- Coordinate HR paperwork for faculty and staff, including new hire and re-hire documents, I-9 identity verification, and required clearances.
- Collaborate with various departments, including Conference and Events Services, Human Resources, Residence Life, and others, to ensure efficient cross-departmental support for all programming.
- Liaise with visiting staff, coordinating travel, lodging, and per diem expenses.
- Process HR2s, invoices, and check request forms while monitoring the department budget.
- Engage in physical requirements necessary for on-campus events.
- Weekend and evening event attendance as required by the Director.
- Other projects and duties as assigned by the Director.
