WAREHOUSE DATA & TRANSACTION CONTROL SPECIALIST 

 

OVERVIEW 

The Warehouse Data & Transaction Control Specialist is responsible for ensuring the accuracy, integrity, and timeliness of all warehouse material transactions. This role enforces transactional discipline across receiving, storage, production, and shipping areas while providing detailed analytics on material movement, discrepancies, and performance trends. The position bridges warehouse operations with ERP/MRP systems to maintain data accuracy and operational efficiency. 

 
RESPONSIBILITIES 

  • Monitor and validate all warehouse transactions (receipts, transfers, issues, returns, cycle counts, adjustments).
  • Ensure every physical movement of material is properly recorded in the ERP system in real time.
  • Reconcile discrepancies between physical stock and system records.
  • Implement and enforce standardized procedures for warehouse transactions.
  • Train and guide warehouse personnel on correct transaction methods and data recording.
  • Audit compliance with established inventory control procedures and documentation standards.
  • Analyze inventory trends, material usage, and transaction accuracy metrics.
  • Identify root causes for transaction errors and propose corrective actions.
  • Develop dashboards or reports showing KPIs (accuracy rate, cycle count performance, transaction timeliness, etc.).
  • Provide insights to improve warehouse efficiency, reduce losses, and optimize stock levels.
  • Maintain ERP/MRP warehouse modules (such as SAP, Oracle, or similar).
  • Support implementation of new processes or software related to inventory and warehouse management.
  • Collaborate with IT and Operations to ensure data integrity between systems.
  • Work closely with Production Planning, Purchasing, and Logistics to ensure material data alignment.
  • Support physical inventories, audits, and continuous improvement projects
  • Serves on related committees and participates in meetings as required.
  • Actively supports the defined goals and objectives of the company.
  • Projects a professional, total-quality image in all aspects of this position.
  • Performs other duties as assigned or as judgment or necessity dictates.

 
REQUIRED EXPERIENCE 

  • Bachelor’s degree in Supply Chain, Industrial Engineering, Business Administration, or related field (or equivalent experience).
  • 3–5 years of experience in warehouse operations, material control, or inventory management.
  • Strong understanding of ERP/MRP systems and warehouse processes.
  • Excellent analytical, organizational, and communication skills.
  • Proficiency in Excel, Power BI, or similar analytical tools.
  • Detail-oriented, disciplined, and capable of enforcing process compliance.
  • Experience with lean warehouse practices or Six Sigma methodology.
  • Prior experience in manufacturing or electronics industry.
  • Familiarity with database management or data visualization tools.
  • Strong problem-solving skills and attention to detail.

 

KEY PERFORMANCE INDICATORS (KPIs) 

  • Inventory transaction accuracy (%).
  • Timeliness of transaction completion.
  • Stock variance reduction.
  • ERP data integrity score.
  • Training and compliance rate among warehouse staff.

 

 

TRAVEL REQUIREMENTS

Up to 10% travel may be required.

PHYSICAL REQUIREMENTS

While performing the duties of this job, employees may be required to walk for prolonged periods of time, frequently bending, climbing, rotating, squatting, reaching, kneeling, or stooping, lifting up to 25 pounds, and periods of computer use. 

 

Employees may be frequently exposed to heat/cold, heights, gases, vibration, dust, chemicals, odors, dampness, fumes, and noises.
