Primary Purpose:

Responsible for implementing and monitoring the district instructional materials accountability system and fixed asset inventory process. Organize and manage the routine work activities necessary to maintain accurate textbook and fixed asset records.

 

Qualifications:

Education/Certification:

  • High School Diploma or GED; College courses or related experience preferred.

 

Special Knowledge/Skills:

  • Effective communication and interpersonal skills
  • Excellent organizational skills
  • Knowledge of instructional materials requisition and inventory management guidelines
  • Ability to read and interpret documents such as government rules, procedure manuals, and safety rules
  • Ability to develop spreadsheets and databases
  • Keyboarding and computer proficiency
  • Computational, organizational, and communication skills

 

Experience:

  • Three years accounting or bookkeeping experience.

 

Major Responsibilities and Duties:

Inventory:

  • Perform all aspects of the requisition, exchange, and distribution of instructional materials in accordance with State and district regulations, policy, and guidelines.
  • Implement and maintain an accountable school-site instructional materials inventory management system that ensures appropriate quantities of instructional materials are available at each campus when required for instruction.
  • Reconcile with principals the collection of data needed to maintain a fixed asset inventory for the district.
  • Order, distribute, and maintain an inventory by campus of all state owned textbooks for the district.

 

Administration

  • Train campus staff to use established procedures and guidelines to effectively and efficiently implement a site-by-site instructional materials inventory management and distribution system.
  • Work with district accounting, purchasing, and distribution services to ensure the timely receipt, identification, and recording of newly acquired fixed assets and instructional materials.
  • Provides complete and accurate information in the conduct of district business.
  • Maintains positive and cooperative working relationships with colleagues and other in the conduct of district business and demonstrates team work in daily activities.

 

Communications:

  • Communicate with principals to obtain information for ordering textbooks by Texas Education Agency regulations.
  • Communicate with instructional department to obtain the maximum benefit of state adopted textbooks for each campus.
  • Communicate and guide employees assisting in the receipt and delivery of textbooks and fixed assets by training them in the proper procedures for receiving, accounting, and delivery of the items.

 

Records and Reports:

  • Maintain accurate record keeping of fixed assets for the district with accounting department.
  • Use records management and administration procedures to ensure inventory records are maintained, preserved, and disposed of in accordance with the requirements of State and district regulations, policy, and guidelines.
  • Compile, maintain, and file all reports, records, and other documents as required.

 

Other:

  • Complies with district policies, as well as state and federal laws and regulations.
  • Adheres to the district’s safety policies and procedures.
  • Participates in staff development training programs to improve job performance.
  • Participates in meetings and special events as assigned.
  • Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.
  • Is prompt and timely in competing assignments and attending to details accurately and efficiently.
  • Is regular in attendance and complies with notification procedures for absences.
  • Maintains confidentiality in the conduct of district business.
  • Perform other duties as assigned by the supervisor or other administrators that are consistent with the general requirements and qualifications for the position.

 

Supervisory Responsibilities:

  • Monitor and direct the work of the textbook assistant
