1.     Performs duties of the Receptionist/Secretary:

a)     Greet patients and obtain demographic and insurance information and register patient into system.

b)     Answer telephone in a professional, courteous and pleasant manner in less than four rings following departmental policy for scripting. Directs calls to appropriate persons and/or departments taking information and/or accurate messages.

c)     Obtain legally acceptable general consents to bill third parties.

d)     Answer routine questions including but not limited to departmental policies, operations and procedures.

e)     Schedule patients’ appointments in person or by phone.

f)      Sort and distribute all mail to physicians and manager daily.

g)     Verify and accurately enter radiology orders in the radiology information system.

h)     Register patient using the electronic registration system, scan identification, license and appropriate forms needed for the appointment.

i)       Verify patient appointments, provide necessary forms to patient when appropriate and direct/escort patient to proper examination area or notify appropriate area of patient arrival.

j)       Copy and/or provide radiology record information to outside facilities and Physicians under established guidelines.

k)     Explain and process payments from patients, which may include, but not limited to co-pays, co-insurance and deductibles.

l)        Confirms all self-schedule patient appointments have been scheduled in accordance with established guidelines and ensures necessary outside records have been received.

m)   Pre-registers outpatient appointments, including insurance verification utilizing online eligibility tools...

n)     Ability to work independently and under pressure.

 

2.     Performs duties of the Medical Records Clerk:

a)     Responsible for processing, assembling, reviewing, filing, and retrieving confidential patient records.

b)     Assist front desk.

c)     Work with multiple third parties including: OCHS, Shields, breast surgeon offices and Oncology Center to ensure imaging is available as required.

d)     Request images for MD’s and APP’s.

e)     Help navigate patients who have difficulty obtaining images.

f)      File patient medical records and medical reports in all media types in accordance with department policy and procedure, ensuring effective retrieval.

g)     Identify and resolve misidentified medical records.

h)     Copy and /or provide medical records information to outside agencies and physicians under established guidelines. Informs requestors of the status of their request per departmental policy and procedure.

i)       Prepare cases for Breast Conference; make sure images are in the PACS system ready for the Radiologist.  Run unread list for outstanding film that have not been read and give to Manager.

j)       Run unread list for radiologists to review utilizing PACs and Ikonopedia independently.

3.     Performs duties of the Scheduler:

a)     Responsible for scheduling multiple procedures and rooms accurately, for multiple locations (Cuda, Wilkens, Seifer etc.) adhering to department standards.

b)     Act as a liaison for and receives all calls from physician offices.

c)     Reviews all patient information before procedure and retrieves symptomatic notes from physician offices.

d)     Answer routine inquiries and telephone calls from patients, physicians, and other hospital personnel in a courteous manner within a reasonable amount of time.

e)     Maintains appropriate department records and filing system to ensure efficient retrieval of information. Photocopy/fax information as needed and checks to make sure all reports, films, and CDs are available for procedure.

f)      Obtain accurate and required information when scheduling appointments (diagnostic, etc.) ensuring patient demographic information is updated and current.

g)     Responsible for timely notification to patients of appointment time and proper procedure instructions.

h)     Notify additional imaging (Add View) patient of their new appointment time in a timely fashion.

i)       Relay any (Add View) error in the prior schedule and report to manager for timely intervention of procedural problems.

j)       Pre-register patients in the electronic patient registration system.

k)     Verify insurance referrals for Breast Care Center procedures.

l)       Ability to adjust and add on orders needed for technologists and APP’s.

m)   Daily management of the onbase system.

n)     Ensure scheduling work queue is worked daily.

4.     Maintain harmonious and cooperative relations with fellow employees, medical staff, patients, and guests.

5.     Consistently provides service excellence to all patients, family members, visitors, volunteers and co-workers.

6.     Performs other work related duties and activities as assigned or directed by his/her supervisor or manager.


·       Ability to read, write and communicate in English.

·       Minimum of High School Diploma or equivalent.

·       Successful passage of CCHC Medical Terminology exam (or proof of course completion, prior to start date)

·       Must meet one of the following qualifications:

a.     Minimum one (1) year experience outside the medical profession as a secretary, receptionist, or scheduler

b.     Minimum six (6) months experience in patient registration, admitting, nurse's aide, medical secretary, medical receptionist, or similar position preferred.
