JOB TITLE: ESS Administrative Assistant
EMPLOYMENT TERM: Annual
SUPERVISOR: Exceptional Student Services Coordinator
CLASSIFICATION: Classified
JOB SUMMARY
Assist the Exceptional Student Services Coordinator in creating and maintaining an efficient, professional office environment; maintain high standard of confidentially at all times; proficient in office management, oral and written communications; willingness to attend workshop/conferences to improve skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Communicate with pubic and school staff in a polite, friendly, cooperative attitude and accurateness of information.
- Keep Director informed on matters related to special educational programs and student, parent, and staff needs.
- Prepares and submits required reports timely in a compliance-ready manner.
- Coordinates the Medicaid in the Public Schools Program – DSC.
- Coordinate AZEIP referrals.
- Prepare and distributes confidential correspondence.
- Distributes required official notices/communication for parents and staff.
- Maintain files pertinent to the functions of the office.
- Schedule and coordinate all departmental meetings and training opportunities.
- Ensure that all forms are completed and kept as required in accordance with Arizona Revised Statutes and District policies.
- Maintain student special education records in a secure, centralized location.
- Take notes/minutes of scheduled meetings as required by the Director.
- Carry out destruction of records as required.
- Perform other duties as assigned.
MINIMUM EDUCATION AND/OR EXPERIENCE
- High School Diploma or GED.
PREFERRED EDUCATION AND/OR EXPERIENCE
- Background and understanding in Special Education, preferred.
- Bilingual in English and Spanish, preferred.

The noise level in the work environment is moderate to loud and can vary in temperature. The nature of this position is fast-paced and may occasionally be thought of as stressful. Through interaction with the public and other district employees, the employee may encounter different scents.
