JOB SUMMARY

The Data Specialist supports the agency’s data management and quality assurance functions by ensuring accurate, timely, and reliable data collection, entry, and reporting. This position works closely with the Director of Data Management and Quality Assurance to prepare monthly and quarterly reports, maintain databases, assist with data audits, and provide support for program evaluation and compliance activities. The Data Specialist plays a key role in strengthening the agency’s ability to use data for decision making, problem-solving, and demonstrating program outcomes.


PRIMARY RESPONSIBILITIES

Data Management & Entry Support

  • Enter, review, and validate data in agency databases and systems.
  • Monitor data for accuracy, consistency, and completeness.
  • Assist with database setup, maintenance, and improvements.
  • Provide technical support to staff on data entry standards and processes.

Reporting & Analysis

  • Generate routine monthly and quarterly program reports for internal and external use.
  • Assist with creating dashboards, charts, and visualizations to communicate data clearly.
  • Compile data for grant reporting, audits, and funder requirements.
  • Support outcome measurement by preparing data summaries for evaluation.

Quality Assurance Support

  • Assist with routine data quality audits and identify data discrepancies.
  • Track and maintain performance and quality initiative (PQI) logs.
  • Help program staff troubleshoot data-related issues.
  • Support compliance reporting related to HIPAA, PHI, and confidentiality.

Collaboration & Communication

  • Work closely with the Director of Data Management and Quality Assurance on special projects.
  • Communicate findings, trends, and insights in a clear, concise manner.
  • Collaborate with program managers to ensure accurate and timely reporting.

Other Duties

  • Assist with accreditation and compliance documentation as needed.
  • Participate in staff training related to data entry and reporting.
  • Demonstrate the agency values of compassion, respect, learning, adaptability, and achievement.
  • Completes other duties as assigned by the Director of Data Management and Quality Assurance

Requirements

REQUIRED QUALIFICATIONS

  • Associate or bachelor’s degree in data management, business, social sciences, or related field; equivalent experience may be considered in lieu of education.
  • Strong proficiency with Microsoft Excel and data management tools.
  • Ability to organize and manage multiple tasks with attention to detail and deadlines.
  • Strong problem-solving and analytical skills.
  • Excellent written and verbal communication skills.

PREFERRED QUALIFICATIONS

  • Experience with electronic health record (EHR) systems.
  • Familiarity with Medicaid and government-funded programs.
  • Experience creating dashboards or visualizations (Power BI, Tableau, etc.).
  • Prior experience in a nonprofit or human services setting.
  • Understanding of privacy/confidentiality standards (HIPAA, PHI, etc.).
  • Experience working in multiple data management systems.
