Title: Vice President of Club Operations
Location: Portage, Indiana (responsible for all Boys and Girls Clubs in Lake and Porter County Indiana)
Reports To: Chief Executive Officer
Supervises: Area Directors, Director of Leagues & Rentals, Director of Operations Support, Director of Education & Academic Programming
Position Summary
The Vice President of Club Operations is a member of the executive leadership team providing strategic leadership, direction, and oversight for the operations of all Boys & Girls Clubs of Greater Northwest Indiana (BGCGNWI) locations. This role ensures that Clubs operate efficiently, effectively, and in alignment with BGCGNWI policies, procedures, and youth development goals. The VP of Club Operations directly supervises all Area Directors and designated departmental directors, actively fostering high level collaboration, consistency, accountability and positive atmosphere within Clubs, across the organization, and throughout our communities.
Key Responsibilities
Operational Leadership & Oversight
- Provide direct leadership to Area Directors, Club Directors, Director of Leagues & Rentals, Director of Operations Support, and Director of Education & Academic Programming.
- Ensure Club locations are consistently operating at a high standard, maintaining fidelity to BGCGNWI’s mission, policies, procedures, and professional ethics.
- Guide and support Club Directors in managing day-to-day operations, while maintaining a safe, welcoming, and inclusive environment for all youth and families.
- Ensure Clubs model friendly and collaborative customer service with both external and internal stakeholders.
- Lead efforts to increase average daily club and summer camp attendance, league participation, and rentals by removing barriers to access, enhancing member recruitment and retention strategies, and ensuring quality programming.
Program Quality & Youth Development
- Ensure implementation of high-quality programs and services that achieve youth development goals and outcomes.
- Monitor and evaluate programming effectiveness using participation data, performance metrics, and evaluation tools.
- Collaborate with the Programs and Development Departments to provide resources, training, and support for the successful execution of BGCGNWI’s signature programs and initiatives.
- Oversee alignment of club schedules with grant and program requirements as well as organizational objectives.
Financial Management & Accountability
- Guide and support Area Directors and Club Directors in the development and management of annual club budgets.
- Monitor monthly financial performance, analyzing revenue and expenses, and implement corrective action as needed.
- Ensure fiscal accountability and ethical financial decision-making across all Club operations.
Safety, Risk, & Crisis Management
- Ensure full compliance with BGCGNWI safety policies, procedures, and risk management practices.
- Oversee completion and documentation of all required safety drills, regularly observing and evaluating compliance.
- Review incident reports for trends, improvements, and training opportunities.
- Continually assess and adapt environments to maximize member safety and well- being.
Data, Reporting & Compliance
- Ensure accurate and timely collection, review, submission, and use of member & programming data, including attendance and participation statistics.
- Ensure adherence to grant compliance standards, reporting criteria, and outcome requirements.
- Use data to inform decision-making, identify trends, and implement strategies for operational and program improvement.
- Guarantee consistent administrative and operational systems are in place and aligned with BGCGNWI’s charter, grants, and compliance requirements.
Community Engagement & Partnerships
- Build and sustain strategic alliances with families, community businesses/organizations, schools, and other youth-serving agencies.
- Maintain strong community visibility, serving as an ambassador for BGCGNWI.
- Ensure all Clubs implement meaningful community engagement and communication plans that strengthen community connections and support member growth.
- Other duties as assigned.
Qualifications
The ideal candidate will have strong personal accountability for results, strong commitment to teamwork in support of the organization’s mission, adherence to ethical best practices, and comfort operating in a fast-paced environment with an ability to prioritize and drive actions towards positive program outcomes.
- Bachelor’s degree in Business, Nonprofit Management, Education, or related field required.
- Minimum of 5 years of progressive leadership experience in nonprofit operations, youth development, education, or related field.
- Proven success in staff supervision, program evaluation, and financial management.
- Strong knowledge of youth development principles, best practices in club management, and safety standards.
- Excellent communication, relationship-building, and conflict resolution skills.
- Demonstrated ability to manage multiple priorities and lead large, diverse teams.
