Position Summary
The Employment Services Payroll Coordinator is primarily responsible for processing and managing payroll operations for student and part-time hourly employees while ensuring accurate wage distribution and compliance with university policies and federal regulations. Additionally, work with payroll manager on faculty/staff employee payrolls.
Essential Job Duties
• Enter new hire student employees in Colleague
• Calculate and distribute payroll by verifying employees are paid the correct amount per department within state deadlines.
• Review federal work study limits for students to verify compliance with awarded amounts.
• Notify students and supervisors of timesheet corrections when work study limits are exceeded.
• Process and maintain new hire documentation and enter employee data into payroll systems.
• Create and distribute reports and invoices for salary employees after payroll processing.
• Collaborate with budget managers to ensure departments operate within student and federal work study budgets.
• Monitor and verify accurate distribution of wages and deductions.
• Other duties as assigned by Supervisor or designee.

Qualifications
• Associate degree in a Business related field and/or 5-7 years of payroll experience
• Bachelor's degree preferred
• Experience in a large system processing payroll

• None
Knowledge, Skills, and Abilities
• Proficient in payroll processing systems and procedures
• Strong attention to detail with ability to maintain high level of accuracy in data entry and calculations
• Excellent time management skills with ability to meet strict deadlines
• Demonstrated problem-solving abilities in resolving payroll discrepancies
• Strong understanding of confidentiality requirements and ability to handle sensitive information
• Effective communication skills to interact with employees, supervisors, and department managers
• Knowledge of federal work study programs and related compliance requirements
• Ability to create and analyze detailed financial reports
• Cross training, learn and process faculty/staff payroll on a bi-annual timeframe
• Must have a strong work ethic and lead by example
• Must be a professional, credible and respected representative of the institution internally and in the community
• Demonstrated willingness and ability to act ethically and socially responsible
• Ability to communicate in a courteous manner
