SUMMARY
The Athletic Operations Administrator plays a vital role in supporting a dynamic and mission-aligned athletics program that serves both Middle and Upper School student-athletes. This role manages day-to-day operations, primarily focusing on scheduling, game administration, and coach communication, to ensure that practices and events run smoothly and efficiently. In addition to administrative responsibilities, the position includes coaching one athletic season (preferably as a Program Head in Girls' Tennis or Girls' Lacrosse), allowing the successful candidate to positively impact students both on and off the field. This is an excellent opportunity for a detail-oriented, relationship-driven professional eager to grow in the field of athletic administration and develop skills that support future professional pathways in athletics.
This is a full-time, 12-month, exempt position. Some evening and weekend work is required.
RESPONSIBILITIES
- Manage athletic scheduling, including games, practices, and calendar updates.
- Coordinate game scheduling with Middle School and Upper School coaches.
- Update schedules across multiple platforms and calendars.
- Manage the game day administration calendar.
- Update and maintain team rosters on the school website.
- Approve athletic events in IncidentIQ.
- Serve on the school’s calendar committee and attend scheduled meetings.
- Assist with onboarding compliance for adjunct coaches (CPR, First Aid, SafeSchools).
- Support game administration and logistics for home events.
- Coach one athletic season, preferably serving as a Program Head Coach for Girls Tennis or Girls Lacrosse.
Requirements
QUALIFICATIONS
The ideal candidate will have:
- Bachelor’s degree in Sports Management, Athletic Administration, or a related field.
- 3–5 years of experience in school-based athletics, athletic operations, or sports administration at the middle school, upper school, or collegiate level.
- Experience managing athletic schedules, game operations, or event logistics.
- Familiarity with athletic management systems (e.g., Arbiter or similar scheduling/compliance software).
- Proven ability to collaborate with coaches and campus partners, including transportation, facilities, and communications.
- Experience supporting or coordinating game day operations, including officials, set-up, and visiting team needs.
- Understanding of coaching onboarding requirements (CPR, First Aid, SafeSchools, or equivalent).
