1. Supervises: Box Office Staff

2. Physical Demands: Requires prolonged sitting, walking, some bending, stooping, stretching, navigating stairways, standing and lifting up to 50 pounds occasionally. Requires hand-eye coordination and manual dexterity sufficient for keyboarding and departmental equipment. Requires normal and/or correctable range of hearing and vision.

3. Work Conditions: Includes office and event environments, involving contact with staff and the public. Regular schedule is Monday through Sunday and can require irregular hours and changes to schedule due to deadlines and frequent interruptions due to events and project timelines, and due to the organization’s commitment to be 100% event driven which may be stressful at times and may involve dealing with angry, confused or upset people.

5. Job Objective 

The Box Office Manager is responsible for the day-to-day operations of the Box Office which includes ticket sales and cash management functions, and coordinates with the event promoter and/or designee which includes tickets sales, cash banks, and parking receipts. 

6. Duties and Responsibilities

  1. Oversees Box Office Operations
  2. Daily Business Transactions

o Completes report reconciliation for ticket sales, daily activity reports, and certified audit statement for each event.

o Provides a daily report from Ticketmaster to event promoter(s) and inter-department staff.

· Event Preparation and Departmental Coordination

o Researches and maintains files on each event that consist of production kills, seats on-hold for the building and Promoter, complimentary ticket vouchers, event audits, ticket inventory schedules, and other data retrieval information for event planning and/or projections.

o Builds seating configurations for each event on the ticket system in coordination with the Promoter, Events Coordinator, COO, and Executive Director.

o Provides daily box office reports and event statistical data (including current events vs. comparisons) to the COO, Executive Director, and other inter-departmental staff as needed/requested. 

o Communicates with Ticketmaster to assure event information and computer operations are reported on a regular/timely basis.

· Ticketing

o Schedules ticket sellers.

o Assures tickets are accurately dispensed for walk-up sales, guest and promoter requests.

o Processes promoter and complimentary ticket requests.

o Oversees event information between promoter, venue staff, and ticketing company in a timely manner.

o Oversees the event creation/generation within the ticketing system for both sales and scanning functions (automated and manual).

o Manages all inventory within the ticketing system which includes special offers, artist/promoter holds, and tickets available to the general public.

o Monitors event builds for pricing and seating accuracy and assures corrections are successfully completed within the ticketing system.

  1. Box Office Staff Oversight & Training

· Selects, trains, and supervises departmental staff in ticketing systems/ box office operations, policies and procedures. 

· Prepares monthly work schedules based on scheduled events and fluctuation in box office sales.

o Using When I Work (scheduling system), communicates/posts the work schedule based on event schedule at least seven (7) days before first day on the schedule, and assures revisions are known.

o Assures that staffing schedules also accommodate event promoter needs, walk-up sales, seating problems, and will call window.

· Maintains competency and professional currency through training provided by ticketing system including travel for training when approved.

  1. Cash Management (Cash Banks)

· Oversees cash requests between the promoter, venue, and bank.

· Checks and reconciles daily cash banks, log, vaults, and petty cash for multiple departments including receipts for; Cashiers/Ticket Sellers, Food Service, Mid-South Fair, Parking Lot, and others as assigned.

· Monitors the cash settlement reports of each seller and provides daily cash safe count reports.

  1. Customer Satisfaction/Service

· Respond to concerns, complaints, inquiries and requests while building and maintaining excellent rapport with customers/guests and public at large, event promoters.

· Effectively and consistently uses diplomacy, discretion and judgement to resolve problems with pricing and seating in timely manner to the satisfaction of customers/guests.

7. Helps train other staff or volunteers as needed.

8. Forms effective working relationships & rapport with customers and staff.

9. Secures work area before departing each day.

Requirements

  

Qualifications and Knowledge, Skills and Abilities (KSA)

Combination/applicable education and experience providing consistent and excellent customer service. Possess good communication skills (including the ability to read, write and speak clearly/consistently in English), ability to work well with people and build/maintain excellent rapport, function in a busy environment with multiple interruptions, ability to succeed under pressure, ability to identify problems and achieve successful resolutions, orientation to detail, and computer literacy and proficiency. This position requires at least two years of supervisory experience overseeing 10 or more employees, the ability to type/keyboard, handle large amounts of cash (count money and make change), oversee approved cash-management controls, and succeed in a fast-paced environment and produce positive results in an atmosphere that requires exemplary customer service.

  • Customer Service      experience,
  • Box Office experience,
  • Expertise with the Ticketmaster platform.
