A Brief Overview
The Patient Administrative Specialist is a flexibly staffed career ladder consists of three levels. Individuals are appointed to the appropriate level based on management's assessment of their job-related knowledge, competencies, education, experience, and other relevant considerations against the minimum qualifications for each level. Flexible staffing exists when a job class has two or more levels and an employee can be initially appointed to any level in the job and subsequently can be promoted from one level to another without a requisition. Major characteristics of a flexibly staffed career ladder are: • Ability to recruit for and hire employees at any level in the job class. • Ability to recognize performance and to promote staff based on demonstrated competencies (i.e., knowledge, skills, and abilities). • Option to promote from one level of a job to the next without having to open a requisition to post the job as being vacant, provided that: o The employee meets the minimum qualifications for appointment to the higher level; and • A business need exists for the employee to perform work at the higher level

What you will do

- Basic PC Skills (Windows, Excel, and Word)
- Good communication, customer service, interpersonal skills and cross cultural competency.
- Working knowledge of EPIC or other patient database
- Working knowledge of one or more of the following:
- Knowledge of medical terminology – preferred, but not required
- Ability to speak and write effectively at a level appropriate for the job demonstrating culturally competent and age-specific communication
- Ability to foster relationships, build trust with providers, nurses, staff, and patients and to work in a collegial team environment
- Ability to apply C-I-CARE philosophies and demonstrate customer service skills in interactions with all patients, families, and staff, including during high volume times and stressful interactions
- Ability to plan, prioritize, and organize work independently with attention to detail and deadlines
- Acquires Primary Skill in Administrative Work Cell – either new patient coordination, surgery scheduling and ITA scheduling
- Secondary skill for Administrative Work Cell, e.g., new patient coordination AND surgery scheduling, or new patient coordination AND ITA scheduling, or surgery scheduling AND ITA scheduling, etc.
- No disciplinary actions in file for the past six months
Education Qualifications
- Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying
- High school diploma or GED equivalent
- Associates’ degree in health related field from an accredited college or university preferred
Experience Qualifications
- One (1) year working in healthcare setting (i.e. hospital, medical / dental office, nursing facilities etc.), or
- Two (2) years experience working in customer service within a non-healthcare industry (hospitality, public relations, banking, concierge services, etc.)
Required Knowledge, Skills and Abilities
- Ability to adjust communications to fit the needs and level of understanding of the receiver
- Ability to demonstrate customer service skills in interactions with all patients, families and staff, including high volume and stressful situations
- Ability to maintain confidentiality of sensitive information
- Ability to remain calm under pressure and apply sound judgment
- Ability to solve problems and identify solutions
- Ability to speak and write effectively at a level appropriate for the job
- Knowledge of computer systems and software used in functional area
- Knowledge of the location of services provided by the hospitals and clinics (or ability to quickly become familiar) to be able to assist guests with directions and/or transport; the local geography

Base Pay Scale: Generally starting at $34.96 - $39.20 per hourThe salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
