This position's main location with be El Dorado, KS with occasional requirements of travel and working in Wichita, KS.
A valid drivers license and ability to pass an annual motor vehicle report is REQUIRED.
Job Purpose
This position is responsible for coordinating, preparing, and scheduling complex functions in a professional and efficient manner to support the Director of Operations, the Operations Management Team (OMT), and the Executive Leadership. This position assists in promoting and supporting the growth, strategies, and development of the organization while fostering mutual respect and esteem among colleagues and other divisions within BG Products Inc.
Duties & Responsibilities
- Adheres to company policies and presents a professional, positive attitude at all times.
- Administrative support for the Operations Management team in all locations.
- Assist Ops Managers with the uniform process.
- Coordinate the ordering of funeral flowers.
- Track and assist in the recognition of operations employees’ birthdays.
- Assistance with meal ordering and set up for Operations leadership.
- Responsible for coordinating, scheduling, and maintaining safety boot truck program for BG Products.
- Filing of Operations Training and other documents.
- Operations Reporting.
- Place orders for OPS managers for supplies and other needs.
- Coordinate with BG Masterworks the ordering of BG apparel.
- Scheduling and coordinating tours within the Wichita and El Dorado campuses.
- Cross trained to work in multiple facilities within operations.
- Assist with data entry and other assignments for OPS managers when needed.
- Assist OPS Managers with travel and hotel bookings for business trips and conferences.
- Assist the Admin services associate in El Dorado when needed.
- Schedule collaborative business efforts and meetings to meet the needs of the OPS managers to support their involvement in various projects; developing specific presentations and reports.
- Produces information by transcribing, formatting and editing handwritten notes.
- Assists OPS Managers by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Supports Operations by keeping information confidential.
- Communicate with other departments via electronic and verbal methods.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Coordinate, collaborate or participate in interdepartmental meetings and projects at the request of the OPS Managers.
- Act as the credit card proxy and assist in monitoring and submitting credit card charges to accounting through the Travelbank software on a weekly basis for the OPS managers.
- Gather and organize reports from the Operations Management Team.
- Other general admin duties as needed or assigned.
Qualifications
- High school Diploma or GED equivalent strongly preferred.
- Minimum of two (2) years’ experience in office setting, preferably in area of answering multi-line phones and greeting visitors, manufacturing environment experience preferred.
- Experience in general office support, operations, administration, and computer skills strongly preferred.
- Must have a valid driver's license.
