Talent Acquisition Coordinator

At the Hoffman & Hoffman family of companies, the Talent Acquisition Coordinator is a crucial partner in our growth, serving as an expert in operational and process management. This position is the backbone of our recruiting team, ensuring every candidate has a smooth and positive experience from application to hire. You will be responsible for the logistics, coordination, data accuracy, and compliance that underpin our entire hiring and onboarding process3. We are seeking a highly organized and detail-oriented individual who excels at managing multiple moving parts to help us build a world-class team.

  1. Interview & Logistics Coordination:
    1. Seamlessly schedule interviews between candidates and Hoffman & Hoffman hiring teams.
    2. Manage all interview logistics, including coordinating meeting rooms, video conference links, and any necessary travel arrangements.
    3. Support our recruiters with various administrative tasks to keep the hiring process moving efficiently.
    4. Oversee the collection and distribution of interview feedback to ensure timely decisions.
  2. Systems & Data Management:
    1. Maintain the integrity of our hiring pipeline by tracking candidate progress and ensuring all data is accurate.
    2. Utilize our Applicant Tracking System (ATS) to schedule interviews, update candidate statuses, and manage feedback workflows.
    3. Generate and maintain recruitment data and reports to provide insights into our hiring process
    4. Ensure all steps comply with our established hiring processes and manage bulk actions like sending rejection notifications.
    5. Ensure that sales candidates complete the assessment.
  3. Offer & Compliance Management:
    1. Prepare offer letter documents and templates for prospective hires.
    2. Coordinate the offer approval process through the proper internal channels.
    3. Ensure the accuracy of all offer terms and maintain legal compliance in all documentation.
    4. Manage the distribution of offer letters, collect signatures, and meticulously file all offer documentation.
    5. Track offer acceptance and decline rates to help us refine our recruitment strategies.
  4. Manage Job Postings
    1. Post positions for all hiring managers.
    2. Update outdated postings.
    3. Maintain job descriptions in ADP.
  5. College Recruiting
    • Register Hoffman & Hoffman for college career fairs.
    • Post positions at all universities and technical schools.
