As one of the oldest forms of applied science and engineering, Carnegie Mellon University’s Department of Metallurgical Engineering was founded in 1906 and named after its emphasis on the study of metals. Since then, our field has broadened to include all classes of materials from ceramics and polymers to semiconductors and biological materials. Whereas early eras of civilization were widely identified by human’s ability to work with new material (Stone Age, Bronze Age), today our abilities and projects span a variety of materials and combine everything from physics and chemistry to civil and electrical engineering.
Carnegie Mellon University’s department of Materials Science and Engineering is searching for an Office Manager. This is an excellent opportunity for someone who thrives in an exciting and challenging work environment. You will contribute to the department by providing crucial support by providing assistance and general information on departmental policies and procedures.
Responsibilities:
- Answers and screens phone calls and visitors to the office; directs students, parents, staff,
faculty and the public to the proper office or person; takes detailed messages when faculty or
staff members are not available - Performs general office support services in addition to enabling card reader access and
maintaining electronic distribution and phone/contact lists; creates mailbox and door tags and
submits FMS work orders as needed. - Supports faculty and their full research groups. Example of tasks include ordering laboratory
supplies, coordinating travel, processing reimbursements; in some cases, will maintain the faculty member's calendar and the processing of coursework and exams. - Coordinator of the weekly graduate seminar speaker series for all speaker visits which includes, securing lodging, travel and transportation arrangements; creates speakers schedules and processes reimbursements related to the seminar meals and speaker's expenses.
- Is the scheduling contact for four conference rooms
- Distributes incoming mail and serves as the Receiver for our high-volume package deliveries
- Orders gas cylinders and maintains related log
- Monitors inventory of office supplies and makes vital purchases to keep stock up to required levels and for maintaining the fax, copier, and coffee machines.
- Completes the daily errand run when necessary; conducts light housekeeping of conference and mail/copier rooms and main office area doing multiple status checks per week.
- Serves as back-up clerical support as needed when support staff are out of the office and/or on PTO
- Performs related duties as assigned
