Position Summary

Under general supervision, the Records Management Specialist is responsible for coordinating all day-to-day operational aspects of a major, centralized academic records center of the College, ensuring compliance with all relevant laws, regulations, and College policies and procedures. Maintains comprehensive records systems as appropriate to the College, and may coordinate record management activities of various department.

Duties & Responsibilities

  • Supports the College Senior Director, Policies, Procedures, & Records Management in ensuring that College records, regardless of media or format, are managed in accordance with state and federal guidelines and records management best practices/standards. Provides training and guidance to campus departments on Records Management policies and guidelines, and on managing the lifecycle of physical and electronic records. Responds to requests for information from College staff regarding the CNM Retention Schedule and records retention periods. Assists in preparing departmental reports, publications, and updating the Records Management website.
  • Oversees the deposit and retrieval of records and manages the records loan system. Classifies records into appropriate record series. Conducts review of obsolete records stored in the College Records Warehouse and electronic records management system to determine destruction eligibility. Facilitates the records destruction process.
  • Assists with implementing and managing Records Management software programs. Serves as the Records Management liaison between the electronic records management system and campus departments. Facilitates the transfer of records into the electronic records management system.
  • Assists with the transfer of archival and records management materials between the Records Warehouse and Archives.
  • Supervises student employees, which includes prioritizing and assigning work, conducting performance evaluations, ensuring staff is trained, ensuring student employees follow policies and procedures, and maintaining a healthy and safe working environment.
  • Manage administrative operations for the Legal Division, including General Counsel’s schedule, correspondence, travel, events, and procurement.
  • Monitor the Legal Division budget, prepare reports, and advise General Counsel on budgetary strategy and resource allocation.
  • Performs other related duties as assigned.

Minimum Qualifications:

  • A Bachelor's Degree in related field

AND

  • Five (5) years of or progressive records management experience.
