Child and Family Guidance is hiring a Clinical Workflow Coordinator for the Waxahachie clinic. The Clinical Workflow Coordinator (CWC) plays a vital role in ensuring the smooth and efficient flow of clients through the clinical process, from arrival to completion of case management services. This position supports the QMHP-CS team by overseeing daily operations, monitoring staff activity, and facilitating communication across departments to maintain a client-centered, organized, and responsive care environment. Additionally, the CWC will provide a minimum of 8 direct client contact hours per month providing family oriented, individual and/or group rehabilitative mental health services, skills training and development, medication training, parenting skills training, and intensive case management services to clients of the agency per state specified standards and requirements.
Client Coordination & Flow Management
- Oversee and coordinate client movement through the clinical workflow to ensure timely access to QMHP-CS services.
- Assign clients to available QMHP-CS staff based on availability and client needs.
- Ensure clients are roomed and ready to avoid delays in service delivery.
- Verify client authorization status and ensure unauthorized clients are flagged appropriately to be served.
Staff Monitoring & Support
- Ensure staff maintain accurate and timely updates to the dashboard statuses, and provide reminders when corrections are needed.
- Communicate proactively with Regional Directors (RDs) to confirm staff availability and report any absences that may impact service delivery.
- Engage with QMHP-CS staff throughout the day to offer encouragement, monitor workflow, and provide operational feedback.
- Coordinate and manage the daily lunch schedule to maintain adequate staff coverage and uninterrupted client services.
Oversight & Accountability
- Ensure adherence to established dashboard procedures and clinical workflow protocols to maintain operational consistency and compliance.
- Engage with staff to address and resolve missing or incomplete Uniform Assessments (UAs) within the CMBHS system, ensuring timely documentation and data integrity.
- Provide technical support and troubleshooting for dashboard and Doxy platform functionalities, offering guidance to staff to minimize disruptions and maintain workflow efficiency.
Cross-Team Communication
- Serve as a liaison among QMHP-CS staff, clinics, Regional Directors (RDs), and Health Support Specialists (HSS) to facilitate seamless communication and coordination.
- Monitor and address technical issues such as disconnections or missed calls on the Doxy platform, ensuring timely follow-up and continuity of care.
- Provide real-time updates on client status to relevant staff and departments to support informed decision-making and efficient service delivery.
Operational Efficiency
- Identify and resolve technical issues related to the dashboard or doxy platform that may hinder workflow efficiency or disrupt service delivery.
- Maintain consistent and proactive communication with staff to ensure all clients are accounted for and no individuals are inadvertently overlooked.
- Promote and uphold a culture of operational excellence by emphasizing efficiency, accuracy, and a client-centered approach in all aspects of service coordination.
Quality Direct Care
- Provide curriculum based rehabilitative services to families, individuals and groups.
- Maintain all case records (notes, treatment plans, and uniform assessments) in accordance with CFGC standards.
- Provide services to clients scheduled to meet with prescribers.
- Meet monthly benchmarks provided by manager or regional director.
- Provide documentation with the understanding that all clinical notations are considered legal documents and can be used in the court of law.
- Provide true, accurate, and never falsified documentation for all client files.
- Present all assigned cases for review by supervisor.
- Participate in staff meetings, trainings, professional development, and other in-office activities.
- Maintain required professional certifications and licensure.
- Maintain a valid driver license and auto liability insurance (current copies must always be on file with the agency).
- Adhere to all current city, state and federal laws, rules, regulations, and codes.
- Ensure community awareness of all services offered within the agency.
- Other duties assigned and updated by supervisor.
Knowledge and Skills:
- Experience in community mental health setting preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Familiarity with CMBHS, Doxy, and clinical dashboard systems.
- Ability to work collaboratively across teams and departments.
- Problem-solving mindset with attention to detail.
Educational Requirement:
- Minimum of a bachelor's degree in rehab counseling, psychology, social work, or related field in the Texas Administrative Code (TAC) rule §353.1415 for Qualified Mental Health Professional (QMHP-CS).
- Trained in working with individuals with Severe and Persistent Mental Illness, Children with Severe Emotional Disturbances, and delivery of services based on curriculum.
- Training in child and/or adult counseling and family dynamics preferred.
