The position of Sponsored Programs Support Center Specialist - Intermediate will be responsible for working with assigned departments to perform pre-award sponsored program activities while delivering excellent customer service. Under general supervision, this position will perform support functions for UT Health San Antonio's Principal Investigators (PIs), with a focus on ensuring that PIs and the Office of Sponsored Programs (OSP) have accurate and timely information to prepare and submit quality sponsored program proposals to sponsors, as well as monitor their portfolio of sponsored awards. This role is critical to supporting and enhancing UT Health SA's research and sponsored programs mission.

Responsibilities

  1. Proactively communicates internal submission deadlines and sponsor due dates to PIs.
  2. Coordinates all proposal submissions, including subaward proposal components, for PIs within their assigned portfolio, including developing and assisting with administrative components of the proposal (e.g., budget, budget justification, proposal application forms, etc.).
  3. Supports Principal Investigators (PIs) in understanding sponsored program administration, policies, and compliance on an ongoing basis.
  4. Ensures proposal is entered into ERMS Grants or other submission system as applicable, prior to routing to OSP in accordance with established internal deadlines.
  5. Revises and updates proposals after the OSP reviews. Supports the OSP in submitting proposal, when applicable.
  6. Coordinates preparation and review of JIT information (e.g., IRB approval, IACUC approval, etc.).
  7. Revises and corrects JIT information based on the reporting office review.
  8. Prepares and submits grant transfer applications in coordination with OSP for new incoming faculty.
  9. Supports Principal Investigators (PIs) in understanding sponsored program administration, policies, and compliance on an ongoing basis.
  10. Assists in connecting PIs to compliance units to ensure proactive monitoring and management of needed protocols.
  11. Coordinates the routing of industry clinical trial budgets and agreements to the Clinical Trials Office and the OSP.
  12. Proactively identifies and recommends process improvement opportunities to the Supervisor.
  13. Attends regular meetings, training sessions, and professional development workshops to keep current on policies and procedures relevant to position responsibilities, as requested and approved by the Sponsored Programs Support Center Specialist - Supervisor.
  14. Other duties as assigned

Qualifications

  • General knowledge and understanding of the administrative and compliance components of a proposal, including: interpretation of standard proposal requirements, terms, and conditions; development of budget and budget justification; review and development of bio-sketches; review and consolidation of necessary subaward documentation; evaluation of compliance elements; evaluation of proposal administration components, such as facility and other resourcing needs.
  • General knowledge of applicable federal, state, and other sponsor regulations related to sponsored programs, especially the OMB Uniform Guidance.
  • Experience working with sponsored program proposal development and research administration software applications.
  • Ability to work independently in a team environment, take ownership of the resolution of problems, be flexible and accountable, manage conflicting responsibilities, prioritize tasks, and consistently meet both internal and external deadlines.
  • Capability to work with all types of sponsored programs including training, public service, and basic science and clinical
  • research.
  • Attention to detail, problem-solving, and ability to prioritize multiple projects and responsibilities to meet deadlines.
  • Analytical and problem-solving skills to ensure accuracy upon proposal submission

EDUCATION:

  • Bachelor's degree is required.

Disability - Employees can enroll in the Disability Insurance which provides income if a non-work related illness or injury prevents you from working.

FSAs - Employees can enroll in flexible spending accounts (FSAs) to set aside money from earnings before taxes for qualifying dependent day care expenses or out-of-pocket health care expenses. 

Retirement - Employees are eligible for either the Teacher Retirement System (TRS) or the Optional Retirement Plan (ORP). TRS is a defined benefit retirement plan which UT Health matches employee contributions. ORP is for eligible faculty staff employees. Voluntary retirement programs are also available to invest before- or after-tax dollars with the choice of five quality retirement plan providers. 

Time Off - A generous leave program offers multiple paid leave options:
  • Front-loaded Paid Time Off: 128 to 208 hours (16 to 26 days) of Paid Time Off based on years of service, given at the start of each fiscal year. PTO may be prorated in year one based on date of hire.
  • Extended Illness Bank: 8 hours (1 day) accrued per month which can be used for illness or injury after one day of Paid Time Off is taken.
  • Paid Family Leave: Up to 240 hours (6 weeks) to care for a spouse, child, or parent after 6 months of consecutive employment.
  • Holidays: 12 set paid holidays each year.
