Position Title: Agency Relations Coordinator - Onondaga & Cayuga Counties

Department: Agency Relations

FLSA Status: Full Time Hourly/Non-Exempt

Schedule: 40 Hours per Week/Monday-Friday 8:00am-4:30pm (Includes 30-minute unpaid meal break).

WHO WE ARE:

Food Bank of Central New York is a not-for-profit organization leading the effort to eliminate hunger in our region, by partnership with others in our community, through education, advocacy, and distribution of nutritious food. We partner with 360 community partners in the counties of Cayuga, Chenango, Cortland, Herkimer, Jefferson, Lewis, Madison, Oneida, Onondaga, Oswego, and St. Lawrence.


The core of our work is achieved by partnering with local agencies that distribute food to individuals and families in need. The key partners that make up our emergency food network are food pantries, soup kitchens, and emergency shelters. Other not-for-profit agencies such as day care centers, rehabilitation centers, senior centers, and group homes are able to utilize membership as a way to supplement their agency food needs.

Hunger is a very serious problem in the United States today. Despite its great wealth, an estimated one in eight Americans rely on emergency food assistance. Among the thousands of people who depend on charitable food programs in central and northern New York, and the Mohawk Valley:

· 29% are children 18 or younger

· 10% are without health insurance

· 68% have been unemployed for more than two years

· 32% have a working family member

· 91% are below the federal poverty line

41% earn less than $12,000 annually 

POSITION SUMMARY

The Agency Relations Coordinator is a vital link between Food Bank of Central New York and our partner agencies, which include food pantries, soup kitchens, and other organizations within the emergency food network. Each coordinator manages a designated geographical portfolio, fostering strong relationships with partner agencies, conducting compliance reviews, and offering coaching to ensure safe, efficient operations and alignment with the Food Bank’s mission to eliminate hunger through nutritious food distribution, education, and advocacy. This position is assigned agencies within Onondaga and Cayuga counties.

ESSENTIAL FUNCTIONS

  • Serve as the primary contact for partner agencies within an assigned geographical area, managing relationships and fostering collaboration.
  • Conduct regular site visits, including coaching and compliance reviews, to ensure adherence to partner agreements and operational safety standards.
  • Provide guidance and support to partner agencies to improve their operations, addressing challenges and offering solutions.
  • Ensure agencies meet all regulatory and agreement obligations, including food safety, distribution guidelines, and adherence to grant spending restrictions.
  • Communicate updates, policies, and best practices to partner agencies, acting as a resource for information and training.
  • Conduct quarterly meetings for assigned geographical areas to address concerns and share updates.
  • Collaborate with internal teams to address agency needs and improve overall network effectiveness.
  • Maintain accurate records of agency interactions, compliance statuses, and visits in the Food Bank’s systems.
  • Create and maintain reports for funders and internal stakeholders.
  • Represent the Food Bank at community events, meetings, and other engagements to strengthen partnerships and visibility.

PHYSICAL REQUIREMENTS

  • Ability to travel regularly within the assigned region, including driving to partner agency locations.
  • Capability to lift and transport materials up to 25 pounds.
  • Willingness to work in diverse environments, including agency sites with varying physical conditions.
  • Ability to stand, walk, and navigate agency facilities during site visits.

EDUCATION & CERTIFICATION REQUIREMENTS

  • Bachelor’s degree in a relevant field preferred (e.g., social services, public administration, business, or a related discipline).
  • Valid driver’s license and access to reliable transportation.
  • Certification or willingness to obtain certification in food safety practices.
  • This position will receive a pre-employment background check. Food Bank of Central New York complies with all applicable state and federal laws pertaining to drug testing and background checks, including Article 23-A.

EXPERIENCE REQUIREMENTS

  • Experience in client or customer relations, preferably in a nonprofit, social services, or food distribution context.
  • Demonstrated ability to manage multiple relationships and priorities effectively.
  • Familiarity with compliance monitoring or quality assurance is a plus.
  • Experience conducting training or coaching is preferred.

SKILL REQUIREMENTS

  • Strong interpersonal and communication skills, with the ability to build and maintain professional relationships.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Suite (Excel, Word, etc.).
  • Ability to learn new technology systems (Jot form as well as client/relationship management software).
  • Proficiency in managing multiple tasks and deadlines with attention to detail.
  • Problem-solving skills to address partner agency challenges effectively.
  • Competency in using digital tools and systems for documentation and communication.
  • Sensitivity to and understanding of the needs of diverse populations and communities.
  • Bi-or multi-lingual preferred.
