An Administrative Specialist will be responsible for the following:

  • Fleet Responsibilities 
    • Support / Assist – Director of Corporate Accounts / Fleet Analyst in preparation of presentation to Fleet Accounts. 
    • Monitor all Fleet Accounts with emphasis / focus on equipment performance – budget parameters. 
    • Fleet Renewals/ Extensions
    • Reporting – Supporting/Assisting in Monthly, Quarterly and Annual reporting – with emphasis/analyst on performance. 
    • Participate/development in special fleet reporting. 
    • Participate / support - development of Fleet Strategies w/solution-based approach. 
    • Actively engage in all aspects of retaining / growing Fleet, Leasing and TM&R business with each region. 
    • Participate/support with all Fleet Presentations. Coordinate with IT on system issues or enhancements. 
  • TM&R Position responsibilities: (Total Maintenance & Repair)
    • Support Fleet Administrator with TM&R quoting, documentation, and set-up for assigned regions (Central, Eastern, Southwestern, Northern).
    • Support Fleet Administrator with preparation and routing all TM&R paperwork (new equipment, trade-ins, extensions, changes, deletions) across all departments/regions.
    • Complete and file TM&R documents, amendments, and extensions.
    • Support/Assist with all follow-up requirements for all maintenance contracts, documentation, supplements, expired contracts with customers, Account Managers, and applicable internal Wolter Inc. Departments. 
    • Maintain a close working relationship with Fleet Administrator on all new accounts.
    • Assist Director of Corp Accounts, Fleet Analyst/Leasing Mgr., Fleet Administrator preparation of fleet account presentations.
    • Perform other projects as requested.
  • Lease Administration Position responsibilities:
    • Support Fleet Analyst / Leasing Manager with third party leasing, quoting, documents, aging functions. 
    • Support Fleet Analyst/Leasing Manager – all off lease third party equipment buyouts transactions. 
    • Assist with monthly WIC (Wolter internal leasing) billing and follow-up with the Used Truck Department on expired lease equipment.
    • Process billing to Used Truck for off-lease equipment.
    • Maintain accurate WIC lease information in Access, Quipware, and VSimple.
    • Maintain/Support Fleet Analyst/ Leasing Manager with tracking/updating all third-party lease, expiration, follow up with Account Managers and updating spreadsheet / database. 
    • Updating Master Lease and WIC Leasing spreadsheet (daily/monthly), including start/end dates, extensions, and changes.
    • Perform other duties as necessary to support Fleet Services Group.
