Position Overview –

The Accounts Payable Manager will report directly to the Controller and oversee a team of professionals focused on accounts payable, and related special projects. This is a hands-on leadership position that requires a strong balance of technical expertise, team development, and process improvement. The ideal candidate will thrive in a fast-paced, evolving business and be eager to challenge current practices, implement automation, and deliver meaningful efficiencies. Responsibilities & Duties –

  • Lead, coach, and develop the Accounts Payable team. Supervise staff to include, but not limited to: designating work assignments; providing instruction; reviewing work; establishing deadlines; training staff/new hires; conducting annual appraisals and participating in the screening process of new hires.
  • Oversee all aspects of the accounts payable function, including routing, coding, and invoice entry into the ERP system.
  • Provide assistance to staff in investigating invoice discrepancies. Will work with staff until a proper resolution is achieved. May require contacting vendors and/or the other departments within the organization, as well as reviewing all related paperwork and files.
  • Serve as a secondary contact for accounts payable-related inquiries and provide information and/or explanations to vendors if resolution is not achieved with responsible clerk.
  • Manage vendor disbursements, ensuring timely and accurate payments via check, ACH, or wire, while balancing invoice due dates, cash flow needs, and input from operations.
  • Collaborate with Operations, Procurement, Supply Chain, and Product Development to maintain strong vendor relationships.
  • Implement third-party solutions and automation tools to improve bill processing and payment workflows, with a focus on recurring or predictable billings.
  • Support month-end close, audits, and reconciliations, including journal entries related to AP.
  • Continuously enhance accounting systems, internal controls, and procedures to meet the evolving needs of a growing organization.
  • Anticipate future business demands and scale the team as transactional volumes increase.
  • Review voucher packages for accuracy and completeness. If necessary, return the invoice package to the clerk for corrections, deductions, or other issues. Once review is completed, approve vouchers for payment.
  • Create and print accounts payable reports or spreadsheets as needed. Use information from these reports and files, as required, to analyze and provide a summarization of specific accounts.
  • Review, issue and track payments for large capital purchases. These typically involve multiple payments, and this position is responsible for ensuring all payments are made according to the agreed upon schedule. Obtain required paperwork and prepare invoices for approval from leadership.
  • Review and prepare legal bills, rent invoices and sales requests for payment as required.
  • Review and approve all employee reimbursement requests and expense reports.
  • Assist in month-end closing. Assist with audits presenting requested invoices for auditor review.
  • Assist plants with receiving issues, petty cash questions, RDG issues, and vendor payment questions. Also help them with training issues and advise plant manager and/or warehouse manager with any discrepancies.
  • Review RDG Log monthly to make sure resolutions are appropriate and that RDG’s are being handled and closed promptly.
  • All other duties the Supervisor deems necessary.

Minimum Requirements -

  • Associate's degree (A. A.) or equivalent in accounting or a closely related field from a two-year college and five years of accounting experience, with an emphasis on accounts payable
  • 8+ years of progressive experience in accounts payable or related functions.
  • Proven team leadership and development experience.
  • Thorough working knowledge of accounting principles and practices.
  • Hands-on knowledge of invoice processing systems (e.g., Microsoft Dynamics AX, Concur).
  • Advanced proficiency in Microsoft Excel.
  • Strong problem-solving skills and ability to implement process improvements.
  • High ethical standards, integrity, and professionalism.
  • Excellent written and verbal communication skills.
  • Bachelor’s degree in Accounting or Finance preferred.
