Position Details
• Title: Purchasing Assistant
• Location: Accounting and Chief Financial Office @ the Library Services Center
• Hours: Full-time (30 hours/ week)
• Schedule: Monday through Friday
• Starting Hourly Rate: $18.70
• FLSA Status: Non-Exempt

A successful candidate will…
- Have an Associate degree or equivalency.
- Have entry level to 3 years of experience required in a similar role or an accounting department.
- Have intermediate level computer skills.
- Be able to cope with daily job-related stress and challenges.
What does the job look like?
- Responsible for pulling pick tickets from MUNIS software and filling orders for the different Library branches and departments, and packaging that material for transportation to the proper location.
- Maintains accurate supply and requisition records for inventory levels, orders placed, orders received, items needed, vendors, and items used; records details of supplies on hand and expense accountability; enters information into the computer system to track inventory and usage; coordinates with accounting to ensure accuracy of information and process.
- Monitors the electronic office supply ordering system and monitors the users for appropriate purchasing. Responsible for recordkeeping of items backordered, or partially shipped, on request, and report low stock.
- Coordinates the distribution of supplies throughout the Library System; follows up on material delivery schedules; places orders for supplies. Provide exemplary customer service to both internal and external customers.
- Maintain receipt of inbound shipments from various vendors and ensure orders are distributed to appropriate branches or departments.
- Monitor open purchase orders to ensure that all items are received and the purchase orders are closed. Also monitor for incomplete requisitions.
- Manage Staples order approvals.
